Overview

The Regional Administrative Assistant is responsible for performing a variety of administrative tasks and support to the Region Operations Manager and Divisional Vice President.

Responsibilities

  • Answer and direct phone calls

  • Organize and schedule appointments

  • Write and distribute e-mail, correspondence memos, letters, faxes and forms

  • Regional point person for all printing and supply requisitions

  • Oversee the maintenance of the copier, printers and fax machine

  • Make travel arrangements and reservations for internal and external customers

  • Maintain contact lists

  • Develop and maintain a filing system

  • Assist in the preparation of regularly scheduled reports

  • Create spreadsheets and power point presentations

  • Provide analytical support to the management team

  • Manage various data bases

  • Assist the management team with unemployment hearing requests

  • Provide support for remote operations leadership

  • Assist in maintaining all alcohol and tobacco licensing

Qualifications

  • Proven experience as an administrative assistant

  • Knowledge of office management systems and procedures

  • Working knowledge of office equipment like faxes, copiers and printers

  • Proficiency in MS Office

  • Excellent time management skills and the ability to prioritize work

  • Attention to detail and problem solving skills

  • Excellent written and verbal communication skills

  • Strong organizational skills with the ability to multi-task

  • High school degree; Associates degree preferred

The successful candidate will demonstrate both the flexibility and adaptability required to meet the dynamic nature of Link�s business and the working styles of the assigned leaders. Duties/Responsibilities: * Manage incoming calls from clients and associates ensuring satisfactory and timely routing to appropriate personnel including accurate logging of client request. * Working with internal travel accounting and a designated external travel agency, make business travel compliant with the US Government Joint Travel Regulations and ensure the lowest reasonable travel itineraries are made while supporting the business objectives * Process travel requests and expense reports * Scheduling and coordination of meetings and conference arrangements for associates as requested * Demonstrate and maintain a level of competence in the MS Office program suite and create documents utilizing these software tools for associates as requested * Fax, copy, scan and file documents as requested by associates * Maintain office supplies inventory while providing access to all associates as needed * Present a professional relationship with Links customers both during visits and phone interactions. * Coordinate refreshments, meals and other support for meetings * Provide assistance to all visitors as requested * Manage the calendars of assigned management personnel as requested, to include the coordination of meetings requiring multiple calendar coordination with other Administrative Assistants * Area of support may be assigned but providing support and assistance to any Link associate is expected and required if requested * Provide leadership for special projects as necessary.
