STATEMENT OF THE JOB: To provide high-level administrative support to the Production Director, as well as manage the day-to-day operations of the office.
Must be highly organized, professional self-starter to oversee commercial print billing, purchase orders management, day to day customer inquiries and track & record consumable.
THE REQUIREMENTS OR SPECIFICATIONS: To perform the job successfully the Admin Assistant must be professional, honest and trustworthy with confidential documents and information.
QUALIFICATIONS: Education: AA or BA college degree preferred; Experience may be substituted for education.
Experience/Training:
In lieu of degree, must have a minimum of three years of office experience.
KNOWLEDGE: Strong organizational skills.
Strong verbal and written communication skills and ability to multi-task.
Must be proficient in Microsoft Office (Word and Excel). Basic accounting skills.
Must be able to function in a fast-paced office environment with commercial print customers, production department heads, and other departments.
Must have excellent customer service skills with internal and external customers.
Highly motived and excellent attention to detail.
A willingness to learn any pertinent skills and abilities.
Ability to embrace change and adapt accordingly.
TECHNICAL SKILLS: Proficient with Windows operating systems, Microsoft Office Suite, G Suite, Internet Web browsers and email applications CULTURE AND MOTIVATIONAL FIT: Able to achieve goals and contribute to a group effort while working with minimum supervision Able to communicate in a professional manner with internal and external customers, staff, managers and department heads.
Flexible, personable attitude; Ability to develop cordial, professional relationships with all level of business and technical personnel PHYSICAL REQUIREMENTS: Ability to communicate effectively and use reasoning skills Ability to use a computer, calculator, telephone, copy machine, fax machine, and scanner SUPERVISION: Under the direct supervision of the Production Director.

Responsibilities: * Performsand completes tasks and assignments associated with personnel support functionsfor the CCR&R. * Completescomplex processing of documents and/or transactions for the CCR&R. * Conductscomprehensive clerical research using a variety of resources to complete,prepare, assemble, process, and/or generate reports and other documentation, orto respond to inquiries, questions or requests. * Providesadvanced clerical support to assist in the management of the CCR&R. * Entersdata from forms, records, reports, and/or other sources into computer forpurposes such as maintaining databases. Uses computer software (e.g. database,word processing, spreadsheet, graphics) as a tool for performing clericalassignments. Completes incidental typing assignments, such as typing routinedocuments, labels and addresses on envelopes. * Monitorsuse of and maintains supplies, equipment and/or facilities for assigned workunit or program area. * Attendsseminars, conferences, job-related training, and/or other staff developmenttraining programs. Must possess excellentknowledge and experience in the use of the Internet, Microsoft Outlook, Word,Excel, PowerPoint, Publisher and Access.
