JOB SUMMARY: The Administrative Assistant is responsible for performing a variety of administrative, clerical, and data entry procedures to provide support for the Pharmacy Department in a highly confidential environment.

ESSENTIAL JOB FUNCTIONS:

  • Complete purchase orders for Pharmacy supplies and maintain adequate office inventory by purchasing office supplies through the outlined procurement process.

  • Forward all invoices to Accounts Payable upon approval.

  • Communicate effectively with all K-VA-T Food Stores, Inc.'s Pharmacies, Store Managers, Office Managers and Supervisors, as well as contracted insurance companies, as needed.

  • Produces information for reports by formatting, inputting, editing, retrieving, copying, and transmitting text, data, and information. Strong Microsoft Office skills are necessary including Word and Excel.

  • Submit and distribute contracts to vendors following Executive Vice President approval and retain accurate records for all Pharmacy contracts.

  • Maintain and retain accurate records for all current Pharmacy State and Drug Enforcement Administration (DEA) permits.

  • Complete and submit both state and federal license applications to the appropriate State Pharmacy Board(s) and Drug Enforcement Administration (DEA).

  • Maintain and retain accurate records for all current Pharmacists' permits.

  • Receive recall information from various sources and relay this information to all Pharmacies, Supervisors and Executive Vice President of Pharmacy.

  • Communicate with various states, federal and investigative offices.

  • Produce or proof-read reports, compose correspondence, create presentations, develop specified management-level reports for Pharmacy operations.

  • Answer telephone and email inquiries in a prompt and courteous manner to provide excellent customer service, and direct to the appropriate person/department.

  • Assist with preparations for new pharmacy openings.

  • Place service calls for department's equipment including copiers, printers, etc.

  • Maintain vacation information for the Pharmacy department.

  • Other duties and projects, as needed.

ADDITIONAL JOB FUNTIONS:

  • Assist other department associates as needed, designated by supervisor, which could include any clerical job duty for the Pharmacy or Fuel department.

  • Ensure all aspects of company policy and procedures in regards to good business and department practices are followed.

  • Understand and follow confidentiality policy in regards to company information as well as personnel information.

  • Utilize time management skills and prioritization to accomplish tasks through management team and associates.

  • Verification, completion, and distribution of vital department reports, management reports, documents, and paperwork via written, verbal, or e-mail to the appropriate individuals as deemed by supervision and/or policy.

  • Follow all safety and security measures and guidelines.

QUALIFICATIONS/SKILLS REQUIRED:

  • High School Diploma/GED, or equivalent, required.

  • Previous experience working in a retail Pharmacy environment, preferred.

  • Must be well organized, dependable, maintain the strictest confidentiality and exhibit professional conduct.

  • Proficient typing skills of both speed and accuracy

  • Working knowledge of Microsoft Office Suite including Excel, Outlook, Word, as well as 10-key calculator, and Cisco phone systems.

  • Must be detail oriented.

  • Must be willing and enthusiastic to learn new computer systems, programs, and applications.

  • Ability to multi-task and recognize work related needs to pursue their successful completion.

  • Strong organizational skills.

  • Excellent customer-service skills.

  • Ability to prioritize, organize, and work effectively and efficiently in a fast-paced environment with competing demands.

  • Ability to understand and follow verbal and/or written instructions, perform routine and repetitive tasks and have constant contact/interaction with various levels of individuals, daily.

  • Ability to attend on-site work during normal business hours, in the typical work week, as well as additional time as needed to fulfill job duties through regular attendance.
