The responsibility of this position is to perform diverse and often technical administrative duties of a complex nature for a senior executive. This position includes a high degree of confidential, discretionary, independent and judgmental administrative duties.
Scope and Responsibilities:
Essential duties include, but are not limited to the following:
Proactively attains a safe and healthy work environment for all employees.
Produce information by composing, transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data and graphics. This may be in presentation format.
Process and maintain paperwork and/or forms concerning routine departmental procedures & processes.
Answer incoming telephone calls, screens calls and refer calls to appropriate personnel.
Conserve executive's time by reading, researching and routing routine correspondence; drafting routine letters and documents; collecting and analyzing information; initiating telecommunication.
Maintain executive's appointment schedule by planning, and scheduling meetings, conferences, travel (both domestic and international including ordering Visas as necessary) and teleconferences.
Maintain confidential files and information pertaining to customers and employees.
Secure information by completing data base backup.
Maintain control files of matters in progress and follow up to ensure that actions are completed.
Prepare reports by compiling, collecting and analyzing information.
Perform required copying of departmental material.
Maintain office supply inventory.
Coordinate some office functions with other departments.
Schedule conference rooms and meeting locations for executive group.
Coordinate with other internal and external organizations to accomplish various company-wide matters.
Welcome guests and customers, including foreign visitors by greeting them, in person or on the phone, answering and directing inquiries.
Maintain professional and technical knowledge related to assignment.
Maintain regular and predictable attendance.
