Major Duties & Responsibilities:

  • Manage and maintain executive schedules, including scheduling/searching/booking travel and conferences, making appointments, and making changes to appointments

  • Answering and directing calls to appropriate executives and parties, taking messages

  • Greeting visitors in our cloud environment and determining access to appropriate parties.

  • Opening, sorting and distributing correspondence, including email, Facebook, and Voxer

  • Reading and analyzing submissions, letters, agendas, memos, and route to appropriate personnel in a timely and efficient manner

  • Prepare reports, collect and analyze information; prepare presentations.

  • Attend professional and technical educational seminars and workshops; review publications; establish professional and personal networks within the industry.

  • Prepare executive responses to routine memos, letters, or correspondence

  • Provide clerical and general office support to other offices. Delegate tasks and responsibilities to other staff members when appropriate

VIEW JOBS 3/17/2019 12:00:00 AM 2019-06-15T00:00 The Administrative Assistant will provide administrative support including scheduling calendars, coordinating travel arrangements, creating reports and presentations, and other day-to-day support activities or ad hoc requests for a group of 2-4 management personnel, along with general team support within the office. Job Duties: 40% Schedule activities such as meetings, travel arrangements including detailed itineraries, departmental activities, and various projects. Ensure proactive handling of the next day's/week's/month's activities for the management team. 30% Create and design general correspondence (e.g., memos, charts, tables, graphs, business plans). Proofread and format various documents (e.g., spreadsheets, presentations, proposals). Assist in the preparation of reports and presentations for various meetings. 10% Manage tasks for keeping the Saint Paul office organized and functional (e.g., ordering office supplies, scheduling printer maintenance, organizing the work room, cleaning/prepping meeting rooms). 10% Provide administrative assistance to the management team by answering phones, fielding/answering routine questions, prioritizing and handling correspondence, submitting and approving expense reports, and other day-to-day activities. Organize and maintain confidential filing systems for the office. 5% Collaborate with and provide back-up to the role of the Executive Assistant to the Chief Marketing Officer. 5% Other duties as assigned. Qualifications: * Minimum of 1 year administrative support experience. * 2 years of college preferred. * Proficiency in a variety of computer software applications in word processing, spreadsheets, database and presentation software (Microsoft Word, Excel, Access, PowerPoint). * High school diploma or GED. * Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy. * Must be able to interact and communicate with individuals at all levels of the organization. * Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities, and meeting deadlines. * Must be able to work in a fast-paced environment with demonstrated ability to prioritize the work and juggle multiple competing tasks and demands. * Must possess and demonstrate critical thinking skills as well as excellent organizational skills. * Ability to write reports and professional business correspondence as well as create effective and professional presentations.
