This position plays an integral role in supporting the success of the firm by providing a variety of administrative services to our internal and external clients in a fast-paced, service-oriented environment. The ideal individual will have the ability to exercise good judgment and discretion in a variety of situations, with superb written and verbal communication skills, an excellent strategic thought process, and the ability to maintain a realistic balance among multiple priorities.

In this position, the role holder will have responsibility for supporting Partners and Executives including the coordination of communications and pertinent data among the Executive and Operations Leadership staff. Performs and/or oversees special projects or assignments that are sensitive and/or complex in nature, requiring a high level of independence and initiative in execution and implementation. Handles details and oversees work of a highly confidential and critical nature to support executive matters of significance. This position is expected to manage and reassess priorities of varied complexities, multiple functions and highly sensitive operations to address matters of varying degrees of urgency. Routine administrative activities include department support, project coordination, meeting coordination, calendar management, research, travel arrangements, time and expense entries, event planning and back-up support for the Manager of Executive Operations.

Job Responsibilities

  • Coordinate daily schedule of key activities including coordinating phone calls, setting up appointments, arranging meetings/conferences and coordinating special events and projects, both internally and externally

  • Book travel and registration for off-site conferences

  • Create and edit Microsoft Office documents (Excel, Word, PowerPoint)

  • Prepare expense reports

  • Greet visitors, manage incoming and outgoing phone calls

Requirements

  • High School Diploma/GED required

  • Advanced computer skills and knowledge of applicable tax technology applications, repositories, and databases

  • Intermediate level Microsoft Office (Excel, Word, PowerPoint)

  • Must have working knowledge of Workday, Egencia and/or alternative expense and travel platform

  • Minimum 2 years of Executive Assistance or minimum of 3 years of Administrative Assistant experience

  • Relevant experience in organizing events of varying scales

  • Ability to work independently and manage multiple tasks, while remaining organized

  • A high level of confidentiality and discretion when working on projects is required

  • Flexible attitude and ability to deal well with changing assignments and priorities

  • Attention to detail and great organizational skills

  • Strong inter-personnel and communication skills

  • Ability to work in a fast-paced environment

  • Ability to support remote office Executives

  • Ability to support Executives across multiple time zones and geographies

  • Strong analytical and prioritization skills

  • Must be able to work flexible schedule (as needed)

  • Excellent customer service skills

  • Able to work well independently

  • Excellent prioritization skills

  • Ability to multi-task

  • Bachelor's degree is preferred

Certain states require us to disclose the pay range and benefits summary for job openings. Compensation Range for this position: $57,400-$87,400. Compensation may vary based on skills, role, and location.
