VIEW JOBS 11/18/2018 12:00:00 AM 2019-02-16T00:00 Position Summary The Executive Administrative Assistant provides a variety of advanced administrative and secretarial duties in support of a senior executive of the Company. Work assignments are complex in nature, and require considerable judgment, tact, creativity, and initiative in order to resolve problems. Essential Duties Performs a variety administrative task focused on allowing the executive team to lead and manage their business task more efficiently. Serves as the main liaison between a senior executive and direct reports while supporting communication and related activities to the organization and corporate office. Requests and schedules appointments and meetings and resolves problems requiring in-depth knowledge of company policies and procedures, and projects in progress. Takes independent action on handling requests; determines the appropriate course of action, intervenes where necessary, and acts as a liaison between departments. Coordinates data from a variety of sources for inclusion in technical reports and presentations; performs independent research and prepares information for special projects as assigned. Administers and updates the department's annual budget and assists with variation reporting, maintaining supporting documents and preparing budget spreadsheets and presentations. Prepares documents and presentation materials for Board meetings and is available to assist during meetings as needed. Administers the department record keeping system; updates various department records and publications; ensures that department files are maintained in accordance with company policies and procedures; reviews requests for information and determines the appropriateness of release. Interprets and relays company policy information; keeps senior executive informed of any deviation on items requiring personal attention. Drafts confidential correspondence, edits documents, takes and transcribes minutes of meetings, and performs other administrative and secretarial duties. Arranges domestic and international travel. Managing projects will be required. Other minor duties may be assigned. * Job duties may be modified at any time. Minimum Requirements Must have a High school diploma or GED. Bachelor's degree or above is preferred. Minimum of 10 years business experience in a related role is required, at least five of which should be directly supporting key business leadership or business functions. Project management experience is preferred. Advance knowledge of Microsoft Office is required. Data analytics and research ( business and market) preferred. Excellent verbal and written communication skills including the ability to communicate with internal clients in all levels of management, peers, and subordinates. Ability to prioritize and manage multiple responsibilities and meet defined department goals and activity metrics. Must have demonstrated commitment to excellent customer service. Ability to interact and work well with co-workers, peers, and management to accomplish tasks, goals, projects, etc. Must have a strong eye for detail to proofread documents and be able to handle confidential information. Excellent organization skills and self-motivation to complete routine tasks. Must have a high degree of energy and flexibility; be proactive, self-motivated with an assertive and creative drive.
