The Administrative Assistant position is responsible for providing a broad range of administrative support for the HR and REWS function.

Responsibilities include coordinating and maintaining all day-to-day administrative functions as follows:

  • Provides general administrative support to the Houston HR REWS team and visitors.
  • Administrative support includes calendar management, managing travel itineraries, event planning, managing correspondence with current and prior employees, document management and facilities requests.
  • Manages the preparation of expense reports, processing invoices and handling and distribution of incoming inter-office mail.
  • Prepares confidential and non-confidential correspondence, documents, presentations, meeting minutes and other reports.
  • Plans and coordinates meetings and activities that involve internal and external stakeholder interaction.
  • Providing general administrative support for the overall office including new equipment set up, maintenance requests, order and maintain office supplies, etc.
  • Provides back-up support for other administrative assistants as needed.
  • Additional responsibilities may be assigned as needed.

Scope/dimensions:

  • Focus is on achieving general objectives under minimal supervision.
  • Impacts are to the broad HR REWS team, HR REWS senior leadership as well as the broader Enbridge employee experience including Enbridge senior leaders.
  • Exercises considerable judgment and discretion in the performance of their duties.
  • Requires a high degree of professionalism, knowledge of the company, verbal and written communication skills, and interpersonal skills.

Contacts:

  • This position interacts with a variety of contacts on a daily basis including People Leaders and employees, most generally in HR REWS and also across Enbridge.
  • Acts as the Director's point of contact with senior staff both internally and externally.
  • Verbal communication consists of the collection and relay of basic information with tact and diplomacy.
  • Written communication is primarily determined by past practice but may also involve the creation of original documents to relay a standard message.

Knowledge, Skills & Abilities
:

Required:

  • Administrative certification or equivalent experience
  • Minimum of three (3) years of administrative work experience
  • Demonstrated ability to recognize and work with confidential information in a professional manner, including such areas as Human Resources matters, company materials and financial matters.
  • Excellent communication and interpersonal skills.
  • Demonstrated ability to work independently to prioritize, organize and coordinate work effectively in a proactive, positive and resourceful manner.
  • High degree of attention to detail, problem solving, adaptability and organizational skills.
  • Dependability and a positive attitude.
  • Ability to manage and coordinate multiple calendars
  • Excellent interpersonal skills and demonstrates the ability to work with employees at all levels within and outside the organization in a highly professional manner.
  • Proficiency with technology and various software applications. Utilizes Microsoft Office Suite, SharePoint and cloud based applications such as Workday at a high level of proficiency. Prepares and revises documents for use by senior leaders. Experience with presentation preparation required.
  • Demonstrated ability to prepare correspondence using excellent grammar, spelling, punctuation and proofreading skills.
  • Ability to collaborate and work with administrative assistant team.
  • Ability to network and use a variety of internal and external resources to get things done in a fast paced and demanding work environment.
  • Maintains and demonstrates current knowledge of Enbridge enterprise organization and business operations.

Preferred:

  • College degree preferred.
  • Experience with Workday and ServiceNow considered an asset
