Essential Functions: May work within all appropriate electronic systems as indicated by the needs of the Community.
Provides additional services and tasks that provide support and assistance to Community Staff as directed.
Performs medical records functions as required by the needs of the Community.
Represents Community in a professional manner that is in alignment with our mission to create community and our vision to ignite in all people the passion for meaningful living in every engagement including in person, in telephone conversations and in written correspondence.
Screens and analyzes all incoming telephone calls, visitors, and requests; personally responds to the need for information and assistance including assisting callers and visitors.
Properly routes requests and ensures appropriate follow up.
Anticipates and prepares materials needed by the Community for correspondence, appointments, telephone calls, meetings, and conferences and keeps the Community informed on matters to be considered.
May composes minutes for various committees and meetings.
This includes typing minutes, distribution of minutes and accompanying materials to Board members or other collaborative partners.
May schedules meetings as well as tentative appointments.
Works closely with the community to establish and maintain priority of meetings, appointments and other engagements.
Maintains calendars for the Community.
Prepares and authorizes expense reports and time cards as directed.
May also provide back-up support to other professionals within in the Community such as manager of colleague Assignment and Scheduling.
Screens, analyzes, and responds to incoming mail.
Ensures that requests for action or information are relayed to appropriate staff members, as needed, interprets request and helps implement action, makes sure information is furnished in a timely and appropriate manner through own action or action of others.
Establishes and maintains office files; requisitions supplies, printing, maintenance, or other services required for day to day operation.
Creates and modifies documents and presentations for the Community demonstrating proficiency and expertise in quality.
Able to report and respond to multiple constituents with competing priorities.
Provides specific professional support to include accountability, and preparing invoices for payment.
Retains proper records for the Community.
May be responsible for dealing with initial response for the personal Electronic Systems (PERS). 18.
Performs other duties as assigned.
Education: High school diploma is required.
Any combination of education, training, and/or experience which demonstrates ability to perform the duties as described including extensive satisfactory experience at the Administrative Assistant level.
Licenses, Certifications, Registrations: Successful completion of medical terminology preferred.
Experience: Two years in a clerical role in a clinical setting preferred
Requires personal computer experience and a high degree of advanced skill, including expert keyboarding skills and competencies in use of personal computers, networks and the application of Microsoft office.
Other: Judgment, discretion, and analytical skills necessary to work independently, prioritize workload, and gather and/or direct information and data ability to recognize and capitalize on opportunities to improve the efficiency and effectiveness of office operations.
