What you'll do
As an Administrative Assistant at DocuSign, you will support the Vice President of Engineering, Sign Experiences, Vice President of Engineering, CLM & Doc Resource Management, and Vice President of Engineering, Sign Platform, Account Services, and Storage. This dynamic role requires a proactive, quick-learning individual capable of managing various relationships with senior executives, external clients, partners, and investors, necessitating strong communication skills. Ideal for a driven, resilient Administrative Assistant, the position involves many responsibilities, from daily internal tasks to event planning, all demanding meticulous coordination, prioritization, and confidentiality. You will rely on your exceptional strategic and critical thinking skills and multitasking ability to independently manage VPs' schedules, anticipate future needs, and enhance overall team efficiency, contributing significantly to the smooth functioning of the organization in a fast-paced, collaborative setting.
This position is an individual contributor role reporting to the Vice President of Engineering, Sign Experiences.
Responsibility
Perform administrative tasks including but not limited to calendar management, preparing meeting materials, presentations, and other collateral
Maintain business rhythms through effective agenda management, meticulous note-taking, and overseeing logistics while tracking deliverables and deadlines

Arrange international and domestic travel
Attend and participate in staff meetings and other business meetings, as needed, to build an understanding of IAM, Engineering, and
Business in general to more effectively and proactively manage priorities
Take on, plan for, and execute small-to-medium-sized projects, including but not limited to owning staff meeting agendas, content, and follow-up items
Liaise with program management and talent acquisition to track and execute against hiring plans, space, and business planning
Interface with the field and customer support teams to effectively triage and delegate incoming product and customer escalations to ensure effective and timely resolution
Arrange and coordinate medium-to-large onsite, offsite, and virtual meetings, liaising with other departments as needed for event execution support while helping to drive agenda, content, speakers, and follow-up items
Conduct new vendor and purchasing requests, as needed, following through to ensure prompt processing, approvals, and payments
Build and maintain cross-functional and cross-company relationships and leverage such relationships to execute all tasks efficiently and with the best interest of the department, company, and customers in mind
Act as backup to other Administrative Assistants in the organization as needed

Job Designation
Hybrid: Employee divides their time between in-office and remote work. Access to an office location is required. (Frequency: Minimum 2 days per week; may vary by team but will be weekly in-office expectation)

What you bring
Basic
2+ years of experience working with the Vice President level
Experience with administrative tasks, including scheduling, document management, and correspondence
Experience with Google Suite, encompassing Gmail, Google Calendar, Google Slides, Google Docs, Google Sheets, and Slack within a business environment
Experience in project coordination, handling tasks of varying complexity
Experience with verbal and written competencies that enable clear and effective communication with senior leaders
Preferred
Competence in handling confidential data, policies, and updates with utmost trust and discretion
Thrives in an unstructured environment with minimal direction
Able to manage multiple vice presidents with different working styles
Capable of navigating ambiguity and taking action accordingly
Exhibits flexibility in response to changing priorities and needs
Demonstrates the ability to run projects, work under pressure, and consistently meet deadlines
Shows ability and willingness to acquire new competencies and accept new challenges
Possesses the ability to handle confidential material with utmost care
Ensures clear, thorough, and specific communications, with attention to follow-through
Wage Transparency
Based on applicable legislation, the below details pay ranges in the following locations:
California: $38.22/hour - $55.37/hour
Illinois and Colorado: $35.77/hour - $46.52/hour
Washington and New York (including NYC metro area): $35.77/hour - $49.73/hour
This role is also eligible for bonus, equity and benefits.
