Pay Rate: $17-$20/hr
Position Summary: The Administrative Assistant assists in the general operations of the parish office. Responsibilities include administrative support to the parish management staff, faith formation, ministries, and events.
Primary Responsibilities:
Administrative
Greet and assist visitors, distribute mail, answer telephones, and direct calls appropriately
Respond to inquiries regarding general assistance, sacraments, church ministries and events
Update and maintain parish database
Order office and church supplies as needed
Maintain sacramental record keeping and complete sacramental certificate requests
Mail weekly bill payments, scan and archive financial documents
Attend staff meetings and take meeting notes when appropriate
Parish Communication
Translate documents/forms from English to Spanish and vice-versa
Update and maintain parish website
Create promotional materials for events (flyers, forms, posters, etc.)
Coordinate and relay parish information to parishioners via Flocknote & pulpit announcements
Update parish telephone messages with Holy Day and special events information
Mass/ Parish Events
Prepare readings, Prayers of the Faithful for Sunday masses, and coordinate volunteers for funerals, Sacramental celebrations, Holy Days, etc.
Schedule and process Mass intentions
Schedule and oversee process for celebrations
Prepare collection bags and log information
Administrative and other support to Pastor, Business Manager, Director of Religious Education and Office Manager as needed
Knowledge & Skills:
Must be proactive, professional, well organized, attentive to details, and a team player
Be able to perform multiple tasks simultaneously, set priorities, meet deadlines, and possess a strong work ethic
Must be able to maintain confidentiality, have excellent verbal and written communication skills, gather and analyze information, and resolve problems in a timely manner
Comfortable with computers including willingness to learn new skills and applications.
Qualifications:
Bi-lingual & Bi-literate (English/Spanish) strongly preferred
Demonstrated experience with Microsoft Office Suite (Word, Excel, Access, PowerPoint, Outlook)
Other preferred technical skills: Adobe, Flocknote, Jotform, WordPress & Elementor, Canva
Physical Demands:
While performing the duties of this job the employee is regularly required to remain in an office at a computer workstation and access information from a computer and use a telephone. The employee is required to be mobile to, from, and within the office, as well as maneuver throughout the parish/school facility to attend meetings, briefings, and other work-related events. The employee may be required to conduct trips to, from, and within various city and county-wide locations to attend meetings or events. The employee must occasionally lift and/or move up to 15 pounds.
