The Opportunity

Position Summary

Performs all clerical duties and administrative support for the unit/department, in accordance with the Company's GuestPath Universal Service Standards

Essential Functions:

  • Develops, maintains and updates filing system for the unit/department

  • Composes, transcribes and types correspondence, memos, reports and other miscellaneous paperwork

  • Proofreads memos, agreements, letters, reports, spreadsheets and invoices

  • Answers phone and takes messages

  • Prepares and handles all incoming and outgoing mail

  • Files correspondence, invoices, reports and departmental records in appropriate files

  • Makes copies and assists with the printing of signs and menus.

  • Enters data for sales reports, departmental financial reports, etc.

  • Updates manager schedules and management communications

  • Performs other duties as assigned

  • Effectively communicates with Suite Holders and Client liaisons

  • Compiles, records and distributes all food and beverage orders to appropriate personnel

  • Prepares and files all required final billing

Non-essential Functions:

  • Assists with ordering and purchasing as necessary

  • Assists with HR/payroll duties as assigned

  • Utilizes desktop publications, graphics and computer software to create and print a variety of materials

Education & Experience:

  • Minimum of 1 year experience in administrative or office position, including experience with office administrative procedures, use and operation of standard office equipment.

  • Previous experience with variety of computer software applications in word processing, spreadsheets, database and presentation software (Word, Excel, and PowerPoint).

Knowledge, Skills & Abilities:

  • Excellent guest service skills; ability to adhere to Company's GuestPath Universal Service Standards

  • High level of interpersonal skills to handle sensitive and confidential situations. Position requires demonstrated poise, tact and diplomacy.

  • Excellent organizational skills

  • Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.

  • Ability to prioritize and handle multiple tasks simultaneously

  • Ability to communicate clearly and effectively in both verbal and written communication.

  • Basic math skills including addition, subtraction, multiplication, division, fractions and percentages

Physical Requirements:

  • Regularly required to sit in front of a computer

  • Manual dexterity sufficient for cash handling and typing duties

  • Visual acuity able to see and distinguish required reports and computer system

  • Occasional bending, reaching, climbing on step stool, lifting

  • Occasional lifting and carrying, up to 40 lbs

  • Occasional pulling/pushing of carts

Environmental Working Conditions:

  • Frequent exposure to fast paced time sensitive work load

Provides onsite administrative support and coordination during all phases of a project life cycle. Is in a "client-facing" and client support role since there are client (CoSD) personnel stationed onsite. Under the direction of the client's project manager, this person will help move the projects towards completion by performing project and office administration tasks, which typically include: arranging calendar and scheduling meetings and interviews; arranging logistics for meetings, conferences, training, and other project-related events; reviewing of drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures; gathers, compiles and reports on information relevant to supervisor's assignment; gathers, collects, records, tracks and verifies data and information from multiple sources; uses software for functional area, to compile and generate reports, statistics, tables, graphs, correspondence and presentations; Provides data and information to others on functional unit processes and procedures. This person will also work alongside the Deputy PM in developing and maintaining project deliverables and schedules. Performs a variety of activities in support of functional areas such as Procurement, Onboarding, Resource Management and Office Events. Key Responsibilities: * Time Tracking o Send out timesheet reminder emails on Fridays o Approve time in PPMC o Send ad hoc requests to time admin to adjust worker's times as needed o Option to become a CATW Admin; this will allow you to see, approve, and pull time reports for CATW * Office Administrative o Act as Point-of-Contact for the office o Plan and manage potlucks, team building and fundraising events o Set up office equipment as needed o Set up/take down for events (i.e. potlucks, fundraisers) o Assure resources are equipped with proper desk/work items and equipment o Troubleshoot Printers, Wi-Fi, Network, and IT issues o Come up with creative ideas to add artwork to the office o Prepare and set up audio and visual devices for certain meetings o Monitor and replenish supplies (coffee, paper towels, mice, keyboards, laptops, docking stations, pens, sticky notes, paper, printer ink, laptops, docking stations) o Check mail daily or weekly * Resource Management o Monitor contractor end dates and submit contract extensions and conversions as needed o Close Work Order and Worker Profiles as needed o Initiate conversions for contractors - use salary spreadsheet and conversations with managers to determine job code and salary for employee o Greet interviewers, recruiters, facility members and visitors and direct them throughout the office as needed o Work with Offshore Team Leads to assure we are receiving and planning for the proper amount of resources o Work with Deputy PM to assure resource needs are aligned and within budget (Deputy PM and Project Manager will manage the budget for the most part) o Keep an up-to-date spreadsheet of all team members using Excel and SharePoint § The SharePoint list is pulled weekly to use for reporting purposes so it's key that it stays up-to-date and accurate o Receive, unpack, and store new equipment * Recruitment & Hiring o Create and submit new position and/or replacement requisitions in the online system. When these requisitions are approved, they are distributed to suppliers o Act as liaison between hiring manager and recruiters o Meet with suppliers to explain hiring needs, position needs o Gather resumes and distribute them to hiring managers o Coordinate phone screens and onsite interviews o Meet and greet candidates for interviews * Onboarding o Request new PCs using Self-Service Portal before new hires start o Request software/account access for new hire (CSRF, Local Admin Rights, Visual Studio, etc.) o Desk and PC set up o Walk new hire through orientation PowerPoint and Inform new hire of office and company procedures o Introduce new hire to team members and managers o Act as POC for new hire during initial 1-2 weeks o Guide newly converted employee through the onboarding steps (i9 completion, computer files migration, distributing new credentials, and creating/requesting new accounts) * Procurement o Create procurement requests through the project procurement website. We have a dedicated project procurement specialist who is there to assist every step of the way. o Fill out procurement request forms (items needed, cost, quote, vendor contact information, business justification, fulfillment dates, etc.) o Request email approval from project manager (<$5k) or account manager (>$5k) Required Experience/Skills: * 3+ years of experience as an Administrative Assistant, or related role, on a Software Development project * Great oral and written communication skills (will be communicating to executives and management daily) * Ability to remain tactful and respectful * Open to learning new things * Able to multitask and switch between several unrelated work tasks while staying organized * Candidate must be a US Citizen Benefits: Full-time employees (permanent or contract employees who are employed for a term greater than 6 months) are eligible for benefits including time-off benefits, such as vacations and holidays, and insurance and other plan benefits.
