Job Responsibilities
Under limited supervision of the Culinary and Hospitality Division Dean, the employee manages the division office and performs a variety of complex administrative duties in support of the division.
1.Manages and maintains an efficient office by performing administrative duties in the preparation of correspondence i.e. letters, emails, memoranda, reports, and exams for programs within the Culinary and Hospitality Division, branded the Culinary Institute of the South.
2.Work with faculty, staff, and clients in developing orders for food, non-food products, equipment, and kitchen utensils. Assist in compiling market orders or requisitions for purchases that accurately reflect the total quantities of required foods to be ordered per (day, week, or month). Assist in placing and confirming orders with vendors, or make plans to purchase the required items.
Receive orders, ensure wholesomeness and secure items. Assist in in-house procurement review once per month to ensure program compliance and to seek guidance or technical assistance when necessary.
3.Enters class schedules/room assignments and faculty loads into college-wide database programs and updates schedules when needed; provides the division dean and faculty with appropriate reports and data.
4.Maintains account budgets, monitors expenditures, and resolves problems with the business office; keeps the division dean informed of the budget status of each account; maintains inventory and oversees equipment repairs; responsible for facility requests, and makes sure contracts and terms are favorable; processes financial transactions promptly and accurately.
5.Serves as the contact person for full-time faculty, staff, and temporary employees, including adjunct instructors, work-study students, etc.; works with temporary employees ensuring they are guided to the appropriate faculty or staff member; ensures that all required employment forms are submitted to the Human Resources office accurately and timely. Works with division students ensuring they are guided to the appropriate faculty or staff member; communicates college procedures and operations to students clearly and accurately; coordinates with community and industry partners in support of the college.
6.Assist division dean and faculty in the preparation of course outlines, new curricula, or revisions to existing curricula for submission to the curriculum committee for approval; prepare advisory committee agendas, attend and take the minutes of advisory committee meetings within the division for distribution; and provides materials and clerical support.
7.Performs other duties as assigned.
Minimum and Additional Requirements
A high school diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience.
Preferred Qualifications
A Bachelor's Degree and one (1) year related work experience; or an Associate's Degree with three (3) years related work; or a High School Diploma and five (5) years related work experience.
