The role will provide administrative assistance as well as program/process coordination to Hill's NA VP and GM, US Finance Director and US CS&L Director. The role will identify and execute new ways to help the assigned function(s) become more efficient and productive and will be responsible for maintaining a variety of department programs, processes, projects, and databases that require ongoing assistance.

Main responsibilities:

  • Coordinates department programs and projects to ensure they meet timing, cost and specific deliverable/s within the supported function/s such as coordinating VP Tours of PNC, assisting National Events coordination.

  • Provides administrative support , including group travel, large meetings or event coordination, new hire office set-up, troubleshooting issues, etc

  • Power user for all systems/software used by function(s) (Google Drive Tools, Gmail, Calendaring, Virtual Meetings, etc.) in order to assist the department in leveraging technology to improve processes and projects

  • Provide overall administration for, perform research on, and extract data from electronic databases and other sources using query tools and/or search engines

  • Creates purchase orders; reconciles discrepancies with invoices, and follows up with external vendors as needed; Subject matter expert and first point of contact for eBuy (internal system for purchasing and invoice processing)

  • Assists in ongoing maintenance of department documents, files, policies and procedures in an effective and organized manner leveraging digital collaboration tools

  • Provides administrative support , including group travel, large meetings or event coordination, new hire office set-up, troubleshooting issues, handling of confidential and proprietary information, etc

  • Monitors and tracks department budget spend

Education / Experience:

  • Education and experience requirements: Associate's Degree with 2-3 years of experience.

  • Preferred Education and Experience: Bachelor's degree; Previous Experiences in one or more Coordinator role/s and/or Project Coordination role/s; Project Management Skills including organization, planning and execution

Expected Areas of Knowledge, Skills and Abilities

  • Experience with Database/s

  • Significant experience using MS Office (Word, Excel, Powerpoint) OR Google Suite

  • Effective interpersonal skills, including the ability to work effectively in a team environment

  • Knowledge of SAP

  • Problem-solving ability

  • Ability to perform data analyses

  • Excellent oral and written communication skills

  • Ability to handle confidential and proprietary information

  • Demonstrate flexibility and ability to juggle priorities for several people

General Accountabilities: We are seeking a highly motivated individual to provide administrative support including scheduling meetings, conducting research, preparing reports and presentations and assist members of the Investment Operations team. Position will report to VP Investments. Duties and Responsibilities: * Schedule and coordinate meetings and appointments through maintaining outlook calendar for VP of Investments to ensure time is effectively leveraged; * Ensure supporting materials (agendas, handouts, etc.) for meetings and events are prepared accurately and/or provided in a timely manner; * Develop on-going and periodic reports and prepare presentations for internal and external stakeholders through performing basic research and interpreting data; * Act as the Secretary for various Committees and Workings Groups; * Complete reconciliation and processing of invoices and track expenses; * Assist with budget preparation, proposals and attend monthly budget meeting; * Plan, organize and coordinate special events; * Perform general administrative support functions such as overnight mail, respond to telephone inquiries, copy, fax, scan, manage office equipment, maintain Suite, store electronic documents, make travel arrangements and obtain signatures on legal documents; and * Work on special projects. Qualifications: * College degree (preferred); * Minimum four (4) years proven office management, administrative or assistant experience; * Strong computer skills, including proficiency with Word, Excel, PowerPoint, PDF, SharePoint, and VISIO; * Some experience in a reporting or business analyst role would be preferred; * Experience exercising discretion and confidentiality with sensitive company information; * Strong ability to work in an organized manner with a high level of accuracy, attention to detail and follow-through * Strong verbal and written communication skills; * Excellent time management skills with the ability to work independently with general direction; * Self-starter with proven analytical, problem solving and decision making skills; * Excellent customer service and interpersonal skills with expertise in handling internal/external customers of various backgrounds and levels; * Able to learn quickly, think proactively, and adapt to changing work environment; * Demonstrated capacity to learn and complete technical and complex duties; and * Able to work a flexible work schedule, as necessary.
