DESCRIPTION OF DUTIES

The Houston Health Department (HHD) seeks an Administrative Assistant to provide administrative and clerical support for the Outbreak Management Unit (OMU). This position requires a skilled individual with exceptional organizational skills, strong ability to prioritize tasks and duties, critical thinking skills with the ability to multi-task, excellent written and oral communication skills, great interpersonal skills with the ability to interface and work with all facets of the organization. Also, proven experience with Microsoft Office products, excel, etc. Job duties and responsibility of this position include the following:

ESSENTIAL FUNCTIONS INCLUDE:

  • Provides administrative and clerical support to the Houston Health Departments' outbreak response team and serve as liaison to internal and external partners/stakeholders.

  • Schedules and organizes activities such as meetings, interviews, local and out-of-town travel, conferences, trainings, and department activities for staff.

  • Organizes and prioritizes calls; sorts and distributes mail; drafts written responses or replies by phone or e-mail when necessary.

  • Responds to regularly occurring requests for information.

  • Works independently and with the team on special and ongoing projects and provides logistical/general support when needed.

  • Works with key stakeholders internally/externally on behalf of the program and may act as point of contact.

  • Stays abreast and updated on departmental/administrative policies and disseminates these, and other program specific documents, to staff.

  • Maintains staff rosters and coordinates departmental special project assignments.

  • Performs basic research and gathers necessary information on program operation activities.

  • Serves as wireless coordinator for the program and supports record keeping activities.

WORKING CONDITIONS

This position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort in a normal office environment.   EDUCATIONAL REQUIREMENTS

Requires a Bachelor's degree in Business Administration, Liberal Arts, or a related field.

EXPERIENCE REQUIREMENTS

One (1) year of administrative experience is required.

Professional administrative experience may be substituted for the above education requirement on a year-for-year basis.

LICENSE REQUIREMENTS

None.Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6. 

SELECTION/SKILLS TESTS REQUIRED

Application review and/or interview.  However, the Department may administer a skill assessment evaluation.

Pay Grade 17

GRANT FUND POSITION

Grants & Special funded positions are dependent upon continued available funds. If funding is no longer available, employee may be laid off or transferred. Factors used in determining the salary offered include the candidate's qualifications as well as the pay rates of other employees in this classification.
