II. PREFERRED QUALIFICATIONS:

  • A High School diploma or equivalent

  • A minimum of 1-2 years of administrative experience

  • Superior computer skills including typing, email, Microsoft office programs and data entry ability, as determined by specific job requirements

  • Familiarity navigating social media sites

  • Excellent oral and written communication skills

  • Experience in working with children and families preferred

  • Ability to work in a multi-cultural environment

  • Bilingual English/Spanish Required

III. REPORTS TO: Supervisory- or Management-Level Staff Member

IV. POSITION DESCRIPTION:

Provides administrative support to various services within the Family Resource Center.

V. DUTIES AND RESPONSIBILITIES:

  • Types correspondence, forms, reports, flyers, etc.

  • Support the implementation of program activities and participate in appropriate meetings, events and trainings.

  • Maintains files of all cases and coordinates with supervisor and program staff regarding forms and necessary paperwork/information.

  • Produces service reports used for program monitoring and evaluation.

  • Answers telephone, makes calls, takes messages and reroutes calls as needed.

  • Creates and maintains files and records for audit purposes.

  • Inputs client and services data and maintains database files as required

  • Sends out and tracks various letters, records and documents.

  • Maintains calendar of room reservations for the Family Resource Center.

  • Inventories, orders and/or purchases needed office supplies and equipment with necessary approval.

  • Ability to work a flexible schedule which will occasionally include weekends and/or evenings.

VI. GENERAL:

  • Maintains confidentiality in matters of agency operations, personnel, and clients.

  • Maintains positive communications with all agency staff, clients and visitors.

  • Exercises good judgment in performance of duties and responsibilities

  • Supports existing agency policies, principles and mission.

  • Other related duties as assigned.

HNTB Corporation is currently seeking an Administrative Assistant located in our Los Angeles, CA office. Job Summary Under a moderate degree of supervision, provides general administrative support typically to managers and other department staff. Administrative functions may include maintaining calendars, scheduling meetings, making travel arrangements, handling correspondence, distributing mail, filing, and performing other duties to support the manager and department as needed. Utilizes Outlook, Word, Excel, PowerPoint and various HNTB software applications to perform tasks. Essential Responsibility * Maintains calendars and schedules appointments. * Coordinates and schedules meetings and prepares meeting agendas. * Coordinates and arranges travel and accommodations, and prepares travel itineraries. * Directs incoming calls, welcomes visitors, and answers routine questions. Sorts and distributes incoming mail and prepares outgoing mail. * Compiles basic reports or presentations with information from established sources as directed. Prepares a variety of correspondence with a moderate degree of guidance. * Organizes and maintains office files (electronic and hardcopy) and records in accordance with internal retention policy and procedures. * May perform data input and prepare forms in support of the manager or department. * Performs other duties as assigned. Additional Responsibilities- Provide back-up for Receptionist/Front Desk - Works across multiple office centers - Greet and direct guests entering and leaving the suite - Answer phones, transfer calls to appropriate parties, relay messages - Coordinate conference room scheduling, meeting arrangements, and catering needs - Monitor inventory or office and kitchen supplies and place orders as necessary - Works across multiple office centersBasic Qualification High School Diploma/GED or equivalent 2 years related administrative experiencePreferred Qualification/SkillsKnowledge, Skills and Abilities - Ability to maintain confidentiality. - Planning, time management, and organizational skills. - Ability to balance multiple tasks and changing priorities. - Ability to work with multiple managers within different departments. - Industry (Engineering/Architecture) experience preferred *INDGeneral Work Conditions Office Environment: Work is generally performed in an office environment in which there is only minimal exposure to potentially unpleasant working conditions.
