What does the position do?

This Henderson based position is responsible for providing administrative support for the practice, including business and front office functions. This highly visible role is responsible for managing office procedures, facilities, and equipment maintenance. The position reports directly to the Executive Director and supports senior leadership.

Additionally, the role adheres to the US Oncology Compliance Program, which includes the Code of Ethics and Business Standards.

Responsibilities

Essential Duties And Responsibilities:

  • Handles administrative details to support programs or processes under the direction of the Executive Director.

  • Handles requests for information, sends out routine letters, and routes calls; maintaining confidentiality when required.

  • Coordinates meeting arrangements, calendars, travel, and other business arrangements for senior leadership.

  • Prepares documents for meetings, projects, or reports upon request.

  • Records meeting minutes with responsibility for transcription and distribution of minutes to participants and shareholders.

  • Procurement and storage of office supplies and department records

  • Works closely with vendors and suppliers to coordinate maintenance of facilities, office machines, and other equipment, as needed.

  • Assists in facilitating plans for office space allocation and resources, as needed.

  • Coordinates office procedures between the front office, business office, and clinics to ensure a smooth information flow and communication.

  • Designs, implements, and updates forms for use within the office as applicable. Implements systems (both manual and computerized) to support office activities based on business needs.

Qualifications

The ideal candidate for the position will have the following background and experience:

  • High school diploma or equivalent.

  • Bachelor's degree preferred.

  • Minimum 5 years of office management experience, preferably in a medical office.
