Job Description

Local Oil and Gas Company looking to hire Administrative Assistant. This positionhas the potential to be part or full time. Thisposition will be beneficial in building professional experience in organization, time management, data entry, accounting and overall knowledge of the oil and gas industry.

Position Responsibilities include, but not limited to:

  • Provide professional administrative support to superiors
  • Maintain electronic and hard copy filing
  • Perform data entry and scan documents
  • Create and modify documents in Microsoft Office
  • Must be able to multi task, while maintaining accuracy
  • Preform all other related duties, as assigned.

VIEW JOBS 9/15/2018 12:00:00 AM 2018-12-14T00:00 This position performs a wide variety of administrative and clerical support services for Emergency Management and Radio Communications. Coordinates office activities; maintains financial, statistical, administrative and operational records; assists in the preparation of required reports for local, regional, state and federal agencies; operates and maintains various types of office equipment; relies on skills, instructions and pre-established guidelines to perform the functions of the job; and works, as requested and required, during Emergency Operations Center (EOC) activations and other emergency conditions. This position will be required to work shifts including evenings, weekends, holidays, overtime as necessary by the department, and during inclement weather. This position is considered weather essential personnel. * Serves as receptionist for the Emergency Management and Radio Communications departments; answers the telephone and directs the caller to the appropriate individual; provides necessary information for follow-up action when taking messages; greets the public and determines their needs by assisting when possible or directs them to the appropriate individual; and provides information as directed. * Maintains the office in a manner that fosters an efficient and effective operational function; keeps the work area organized and clean. * Maintains appropriate level of office supplies including purchasing, receiving of inventory and maintaining inventory reports in accordance to established procedures. * Schedules and arranges appointments, training/exercises and meetings as requested. * Assists with timekeeping and maintains the Kronos system in accordance to established procedures. * Maintains a historical record of departmental activities including records, minutes, forms, notifications, inquiries and other documentation as necessary. * Assists with the preparation of correspondence, manuals and other necessary documentation. * Maintains logs and a file system for all correspondence, manuals and other documentation. * Provides clerical and administrative support to the department staff and others as requested. * Maintains proficiency in software programs utilized in the office. * Assists in budget preparation and management, maintains records of expenditures and requests, and is knowledgeable of the basic financial principles. * Assists with training emergency operations support staff as requested. * Oversees the maintenance of all office equipment, and must know and train on all software that affects both departments. * Responds to the Emergency Operations Center (EOC) and carries out various tasks, including interaction with the public and other agencies, ordering meals for EOC personnel and assisting with various tasks. * Compiles the EMPG Quarterly Grant financial reports for submission to the state and complete the grant application annually. * Tracks and purchases supplies for the department; processes and allocates credit card transactions; processes payment vouchers, enters purchase requisitions, receives purchase orders; reconciles department accounts to JDE and ensures expenditures remain within budget parameters; advises co-workers of purchasing policies and procedures; and determines department allocations for purchases not otherwise specified.. * Maintains GETS card system information for COA. * Compiles financial reports and estimates for the Inter-jurisdictional Agreement billings, * Oversees record retention, * Updates annually and maintains Utility Restoration lists for COA, * Processes department credit card transactions, * Maintains emergency contact information lists, * Works during EOC activations and other emergency conditions as required. * Performs other job-related duties as assigned. Minimum Requirements: Requires a High School Diploma or its equivalent. Two years of administrative experience is required. A Valid Texas Driver's License required.
