Administrative Assistant

Role Purpose Statement: The Administrative Assistant reports to the HSE Accounting Supervisor. They will be responsible for providing administrative, clerical, and/or customer service support to support the HSE Project Accountant team. The successful candidate will have a proven record of Project and Office Administration success preferably within the services sector. The Administrative Assistant will work closely with employees based both locally and remotely and therefore should display strong interpersonal skills highlighting communications excellence and a 'self-starter' attitude. The expectation being that the Administrative Assistant will work collaboratively with the Project Accountant team to develop and implement enhancements in the functioning of the projects and office.

Accountabilities

  • Primary 'go to' person for all administrative support functions in assigned department.

  • Monitor ALL HSE division employee timesheet entry and approvals. Send Email reminders.

  • Data entry and maintenance of department databases, directories and records.

  • Manage filing system.

  • Researches, compiles, prepares, and/or edits Ad Hoc Reports and spreadsheets for Accounting Supervisor review.

  • Support HSE Project Accountant team as necessary- pull Invoice back up, scan, email and file electronic Invoices.

  • Ad hoc projects assigned by Accounting Supervisor

  • Maintain and Order supplies for department.

  • Operates automated office equipment.

  • Assists team as back up for Project Set Ups.

Knowledge Skills and Requirements

  • Associates or Bachelor's Degree in Business Administration or similar plus

  • 2 years in office administration or similar, (additional 2 years of experience in lieu of degree)

  • Previous experience in an engineering, consulting or services firm preferred.

  • Excellent communication skills with high level of English proficiency, both written and verbal

  • Intermediate computer and Microsoft (Excel, Word, Power Point, Adobe Acrobat) skills

  • Knowledge and use of ERP systems (Deltek, Oracle, etc.) and Lotus Notes desired.

VPA in-home physicians collaborate with agencies to establish in-home treatment plans and certify the need for services. VPA partners with over 1,000 home health agencies, collaborates with independent and assisted living communities, and works with skilled nursing facilities and hospitals nationally to coordinate services and patient transitions to home care. POSITION DESCRIPTION To perform administrative support duties for the office manager and staff of Visiting Physicians Association by implementing administrative systems, procedures, and policies while monitoring administrative projects. ESSENTIAL DUTIES AND RESPONSIBILITIES * Review previous days billing slips for accuracy, arriving patients, and scanning visit slips to Billing * Email Executive Assistant the FTE count from the previous and current day as well as the patient count from the previous day * Any physicians who are on 100% review need billing slips copied and sent to Corporate Quality Assurance department * Complete daily RVU report; final report to be complete Monday mornings * Review reconciliation, CHAIR, and Medicare rejections and submit requested information * Close out all diagnostic referrals that have been sent and provide a copy to the Patient Care Coordinator * Responsible for supply ordering for the lab, office, fed-ex, and Diagnostics as needed; send all packing slips to Corporate Purchasing department * Performs routine office tasks necessary for the operation and presentation of a professional office as observed by the Supervisor * Supports the Community Liaison roles while they are out of the office * Answer patient questions concerning insurance issues and services offered * Handles new patient intake process, follows through to ensure patients are scheduled in a timely manner. * Works to obtain prior authorization when necessary * Reviews set 6 and set 4 reports; works to get patients moved to set 1, obtains authorization, or provides 30 days notice to cancel services as a result of insurance issues * Provides backup for office staff as requested by Manager (MA, PCC, Schedulers, and Community Liaison) REQUIRED KNOWLEDGE, SKILLS, AND EXPERIENCE * Has previous experience in administrative office work, preferably 12 months of prior experience * Has a GED or high school education * Must have advanced computer skills * Must have good organizational skills PREFERRED KNOWLEDGE, SKILLS, AND EXPERIENCE * One-two years of experience in an administrative role Usmm Houston TX
