Job Description

Brown Advisory is currently seeking a professional, energetic, and self-motivated Administrative Assistant to support several members of our Private Client Endowments and Foundations team in our Boston office. This candidate would be joining the existing Boston Administrative Team managed by the Boston Operating Officer. Candidates must possess the professional maturity to handle confidential and delicate client issues and internal matters.

Duties of the position include but are not limited to:

  • Proactively assist team members and anticipate their needs

  • Maintain several team members' schedules with internal and external meetings

  • General administrative duties including writing and editing correspondence, answering phones, contact data maintenance, and filing

  • Assist with preparation of meeting materials including printing and binding

  • Coordinate travel and submit expense reports

  • Organize and manage meeting requirements from start to finish, including coordinating schedules, technology support and food service

  • Establish effective working relationships with colleagues and external contacts

  • Efficiently document client and prospects' contact information and meeting activity through SalesForce

  • Share responsibilities of going into the office as needed to handle mail and check processing functions while the firm operations under COVID-19 protocol

  • Provide desk and greeting coverage at reception, handling deliveries, and greeting clients and guests. Assistance at Boston Office events as needed for when the firm is fully back in the office

Job Requirements

  • 3-5 years' experience working in an administrative and support capacity

  • Demonstrated experience supporting several colleagues in a fast-paced environment

  • Must be a highly organized and efficient problem solver

  • Superior written and oral communication skills

  • Organizational/Project Management skills

  • Strong people skills; positive attitude, solutions-oriented

  • Professional demeanor

  • Illustrates tact, discretion, and good judgment in handling sensitive and confidential information

  • Capable of prioritizing and executing multiple tasks and projects in a dynamic, deadline-oriented environment

  • Ability to work independently and on team projects

  • Ability to set goals and meet deadlines

  • Working knowledge of MS Office; SalesForce experience is a plus

  • Financial services experience is a plus

Experience in Peoplesoft database recommended. * Excellent written and oral communication skills including superior grammar, spelling, and punctuation that enable the incumbent to work with top level management and other executive level clients. * Possesses superior customer service skills.
