What You Will Do:
The Administrative Assistant is personable, reliable, energetic, and the epitome of diplomacy and professionalism. The ability to interact with executives, employees, and clients at all levels in a fast paced environment, while remaining flexible, proactive, and resourceful, is crucial to this role. A high level of professionalism and confidentiality is a must. The Administrative Assistant will take an active interest in the success of the company and act as a "right arm" to the office executive. Must be creative and enjoy working in an entrepreneurial environment that is built to last, next generation, and values-driven.
Duties and Responsibilities:
Complete a broad range of administrative tasks, including managing an active calendar of appointments, composing and preparing correspondence, compiling documents for meetings, arranging travel, and completing expense reports.
Prepare, compile, and track documents related to office operations and production.
Plan, coordinate, and ensure executive's schedule is followed. Serve as a calendar gatekeeper.
Communicate directly and on behalf of the executive.
Research, prioritize, and follow-up on incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
Review, track and coordinate office assignments utilizing various task management tools
Demonstrate leadership to maintain credibility, trust, and support with senior management and staff.
Work closely and effectively with the executive to keep them informed of upcoming commitments and responsibilities, following-up appropriately; act as a barometer, having a sense for the issues taking place and keeping executive updated.
Build relationships crucial to the success of the organization and manage a variety of special projects.
Prioritize conflicting needs, handle matters expeditiously, and follow-through on projects to successful completion, often with deadline pressures.
Ability to work a flexible schedule as needed to complete time sensitive or special projects; be proactive and flexible as schedules and priorities shift.
Provide as needed temporary administrative support to senior executives.
Collect materials from Action Officers for daybooks, read-aheads and assemble.
Prepare travel orders in the Defense Travel System (DTS)
Chaperon routine and unscheduled visitors within the office spaces.
The Administrative Assistant will have proven ability to exercise considerable discretion and independent judgment when making decisions and interacting with executives, clients, employees, and others.
Will have experience in shifting priorities quickly and multi-tasking in a fast paced environment.
Excellent telephone skills.
Excellent writing skills good grammar, punctuation, and sentence structure in written business communications.
Self-starter, able to take initiative and ownership of projects and prioritize workload to completion with limited supervision.
Excellent problem solving, decision making, organization, and time management skills.
Hours outside of regular business hours expected to accommodate business and personal requirements, as needed
5+ years of experience supporting C-Level Executives.
High school diploma required; Bachelor's degree and prior military experience are a plus
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point).
DTS experience required
Active DoD Top Secret clearance with SCI eligibility REQUIRED
Former experience supporting high ranking officers or executives
