The Administrative Assistant will provide clerical support to all business and technical departments. This person will be responsible for communication between upper management and all departments for scheduling meetings, collaborating internal announcements, and booking travel arrangements.
Tasks & Responsibilities:
Knows, understands, and follows all Safety and Environmental policies, procedures and requirements
Answer all incoming calls to the main line
Assists in preparing board agendas through collaborations with the Chief Executive Officer and Chief Technical Officer
Prepare correspondences, forms, and reports for CEO/CTO
Organizes & manages the meeting and conference room reservations
Purchases office supplies, housekeeping supplies
Maintains the CEO/CTO calendar and schedules appointments as needed
Assists in travel arrangements, hotel bookings, and other reservations for incoming and outgoing visitors
Ensures compliance with the travel policy to include making travel arrangements and travel reimbursement forms
Assists with notes of management and technical meetings
Assist with internal communications with employees about important events
Collects company receipts on a regular basis to submit to the Finance department
Perform other duties as assigned
Qualifications:
Associates degree in Business related field strongly preferred
3 years of experience in an Administrative Assistant, or related role
Expert in MS Office Suite (Word, Excel, & PowerPoint)
Must have the ability to effectively communicate in English, verbally and in writing. Skills will be used to produce quality reports and correspondence as well as thorough instructions and directions.
Excellent written and verbal communication skills, with the ability to craft clear, compelling messages for diverse audiences.
Strong project management abilities, with the capacity to prioritize tasks, meet deadlines, and manage multiple projects simultaneously
