Description

Provide administrative support for the Office of the Vice Provost for Information Technology / CIO which includes researching, pricing and placing technology orders for the entire University and receiving technology equipment. In addition, this individual is responsible for in person and telephone reception, scheduling meetings & software demos, budgeting, and attaining competitive pricing quotes

Primary Responsibilities:

1.Technology Acquisitions: Work under the supervision of the IT Process and Budget manager to determine order specifications.

Get 3 prices for all orders over $1500. Enter orders in Avid and assure that appropriate permissions and sign off occurs. Process purchase orders, receive deliveries (in person and in system) for all of the university's computer hardware & software.

Update KACE inventory system upon equipment receipt. Enter workorder for equipment installation. Interact with vendors for technology purchases. In keeping with purchasing practices this individual enters the orders which are approved by the supervisor.

2.Budget: Work with IT Project & Budget manager on expense monitoring and reconciliation. Handle financial transfers, accounts payable, bills, financial reconciliation, petty cash and financial documentation.

3.Administration: Answer phones, manage the calendar for the CIO including scheduling group and individual meetings. Setup vendor demos for the Office of the Vice Provost for Information Technology.

4.Special projects as assigned by management

Qualifications

Technical knowledge of computer hardware, software and purchasing. Knowledge of MS Office, procurement procedures, Avid, Adaptive and Kace software.

Excellent administrative, professional, interpersonal and communication skills. Must be trustworthy and maintain confidentiality. A dedication to customer service, a pleasant professional demeanor, Professional attire and excellent telephone skills are required.
