Administrative Assistant

  • Assist government client staff with preparing and processing documents and correspondence, checking documents for accuracy and completeness, gathering information, recording data, establishing, and maintaining files, and transmitting information.

  • Assist with proofreading, editing, distribution, and mailing of official correspondence by U.S. Mail, electronic mail, internal mail, and other commercial carriers.

  • Maintain and update client leadership Microsoft Outlook calendars with meetings and deadlines.

  • Assist with information gathering, providing analysis, synthesizing an executive summary, and communicating findings and recommendations to members of the client team and to senior leadership.

  • Assist staff with travel arrangements such as research for hotel locations and costs within per diem, researching cost estimates, and preparing orders and vouchers in CONCUR.

  • Research and prepare credit card purchases, as needed.

  • Prepare reports, answer inquiries, gathering data, and input information into databases.

  • Manage client conference attendance including soliciting for, entering, and tracking conferences in the Conference Approval Management System (CAMS).

  • Conduct and coordinate personnel onboarding tasks when new personnel join the team to include processing ID card requests, background check initiation, email account requests, and computer requests, as needed.

  • Perform responsibilities to maintain the routine operations of the office, as needed.

  • Maintain files, manuals, handbooks, and reference libraries, in support of the client Office, as needed.

  • Provide support for setting up various meetings, both live and virtual, requiring close coordination and calendar management with other team members. This task also requires the contractor to have the ability to develop draft agendas and other meeting materials and manage the electronic distribution of meeting materials to attendees.

  • Assist with special assignments, as needed.

  • Provide logistical support for meetings including:

  • participate in meeting planning, solicit, and prepare meeting agenda, prepare for/set-up meeting logistics, coordinate, and manage speaker invitations, follow standard protocols for client events, and coordinate event locations.

Requirements

  • Bachelor's degree in business or related field and 2-4 years of experience in an administrative support position.

  • General knowledge of the principles and practices of public health, public health agencies, and their services is a plus.

  • Ability to plan, organize, and provide administrative support to multiple team members.

  • Experience using computer software, including MS Office suite.

  • Experience conducting telephonic and email communications, data collection, and data entry.

  • Ability to work collaboratively; and establish and maintain effective working relationships

  • Ability to use critical thinking to determine whether a problem exists and present ideas accurately, concisely, and effectively.

  • Ability to prepare, present, and review oral and written information and reports.

  • Ability to develop, recommend, interpret, and apply policies and procedures.

  • Ability to analyze financial records and prepare reports.

This position will work remotely but will need to go onsite to our client's location for meetings as needed.
