  • Provide administrative support such as coordinating meetings, managing schedules, filing, and helping with additional projects such as event management

  • Manages the calendar of one or more executive and schedules appointments

  • Arranges domestic and international travel, hotel accommodations and transportation; prepares detailed itineraries and compiles travel related documents

  • Prepares, processes and tracks payment of expense reports

  • Verifies and codes invoices and forwards to appropriate executive for signature

  • Provides accurate record and file maintenance. Filing systems include hard copy, computer diskette and network systems. Ensures filings are in proper format and filed in a timely manner. Supplies information from files as requested

  • Coordinates the accumulation and compilation of materials for meetings and other purposes, including staff meetings, monthly management meetings, monthly management reports, etc. often combining department specific materials into a single operations document or power point presentation; ensures reports are received and turned in on time; may provide input into format and layout of graphic presentation of data; may create notebooks for all data presented.

  • Manage / support day to day issues, errands in support of the team as directed or encountered.

  • Assist in coordination of classroom-based, instructor-led learning programs (delivered by internal or external facilitators), including all logistics (materials, venue, food, supplies). Coordinate with facilitators of class size changes, as needed.

  • Coordinates scheduling of major cross-functional meetings internal and external meetings such as, sending invitations, arranging catering, reserving locations, compiling binders and/or other hand-outs, preparing agendas and confirming attendees.

  • Other duties as assigned.

  • A minimum of three years of event management, project coordination, and/or budget/vendor management or related field

  • Proficiency in Microsoft Office: Outlook, Word, Excel and PowerPoint

  • Skilled in problem solving, prioritization, and dealing with ambiguity

  • Proven ability to prioritize own work effectively in a fast-paced, multi-faceted role

  • A self-starter, able to progress issues and work independently but also able to escalate and seek advice and guidance as required

  • Excellent interpersonal, communication and organizational skills

  • Maintains accuracy and attention to detail

  • Able to manage multiple priorities while meeting deadlines

  • Tech savvy is a major plus, should have basic knowledge of conference equipment and be able to work with onsite IT to resolve issues and schedule IT support for meetings

  • Calm composure with sense of humor

  • Highly confidential

  • Able to provide or suggest solutions to problems


  • Bachelor's degree required or 3-5 years' relevant experience, including experience supporting senior management

Position Overview The Administrative Assistant collects, compiles, and analyzes moderately complex data and information, prepares presentations, and composes straightforward written descriptions of results. Interaction is driven by foot, telephone and mail traffic. Foot traffic consists of the general public, merchants and tenants, maintenance and contractor personnel, security and police personnel and related persons to each of those categories, all day long. Under limited supervision, the person in this role provides general administrative support to a department or group of professionals. Responsibilities: * Performs high-level, administrative work, including frequent complex and confidential clerical work organizing, scheduling, coordinating, researching, compiling, exchanging and analyzing information * Participates in administrative functions such as budgeting or developing spreadsheet tracking reports * Assists in implementing property activities, internal and external * Contacts are with executives, managers, other employees and customers mainly to assist with information exchange, problems and requests * Studies management methods to improve workflow, simplify reporting procedures, and implement cost reductions * May provide administrative support to Accounting * May perform administration/coordination for Specialty Leasing and/or Marketing * Assists in daily business of managers, which includes general office work, answering phones, greeting guests and word processing, sorting and distributing mail * Researches, prepares and edits reports and presentations * Reads incoming mail and independently handles or attaches appropriate file/information for recipients * May direct services, such as maintenance, repair, purchasing and replenishing supplies, mail and files * Schedules meetings/conference calls and appointments, makes travel arrangements, as needed * Prepares, maintains and distributes activity and event lists * May manage/update Insurance Certificates for any/all Tenants and/or vendors * May operate as management office support person for localized computer software/hardware * Other duties as assigned Qualifications * High School Diploma * 2 years of experience in an administrative support role * Proficiency in Microsoft Word and Excel as well as email * Highly organized and project oriented * Excellent business writing and verbal communication skills The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of this job.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  While performing the duties of this job, the employee is required to do the following: * The employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear.  * The employee frequently is required to stand, walk, and reach with hands and arms.  * The employee is occasionally required to stoop, kneel, crouch, or crawl.  * The employee may frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.  * Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.  * The noise level in this work environment is usually moderate.  We are committed to creating a diverse environment and are proud to be an equal opportunity employer.
