Position Description:

The Administrative Assistant will provide administrative support to the Vice President of Operations and other ARS Corporate Staff as directed by the Vice President of Operations. The Administrative Assistant shall adhere to the vision and mission of the Company.

Essential Functions:

  • Provide clerical and administrative support to the Vice President of Operations and other ARS Corporate Staff.

  • Coordinate meetings and trainings.

  • Develop and distribute meeting minutes.

  • Compile and consolidate reports from multiple sites for corporate distribution.

  • Compilation of documentation from multiple sites for review, approval and submissions to various departments.

  • Data entry for ongoing and special projects such as patient satisfaction data, consolidated daily census report, monthly discharge survey results, and entering personal action forms into PayCom.

  • Assist in monitoring compliance with requests for information and reporting requirements from various sites.

  • Management of documentation pertaining to licensing, accreditation and credentialing.

  • Prepare and send offer packets to new hires.

  • Run EBI background checks for new hires and forward to appropriate ED for personnel file.

  • Proficient with understanding and applying State Licensure Standards, CARF Standards, 42 CFR and HIPAA standards and Company policies.

  • Must have the ability to travel.

  • Other tasks as assigned by the Vice President of Operations.


  • High School diploma or equivalent.

  • Minimum of two years working in as an administrative assistant.

  • Proficient in the use of personal computers

  • Proficient in Microsoft Word, Excel, Power Point, Outlook

  • Excellent organizational and communication skills.

  • Successful completion of State required background check and required trainings.

VIEW JOBS 8/21/2019 12:00:00 AM 2019-11-19T00:00 POSITION SUMMARY: 32 hrs/wk The Executive Assistant provides one on one support to the Executive, acting as a liaison with internal and external parties. This position handles confidential information with a high degree of discretion. A variety of assignments, some of considerable complexity, are involved requiring familiarity with the operating details of the Company and the ability to interpret and apply departmental procedures. This position handles a wide variety of situations and conflicts involving the clerical and administrative function of the office. This position requires the ability to operate pro-actively and independently to assure a high level of administrative support for the Executive. RESPONSIBILITIES/ACCOUNTABILITIES: 1. Formulates and crafts original letters, memoranda, and other correspondence with little supervision. This work often involves matters of a confidential and technical nature. 2. Maintains the Executive's telephone messages and mail; to include the screening, prioritizing and reference of the messages to other individuals in the Company, where appropriate. May determine appropriate course of action, referral, or response. 3. Manages an extremely active calendar of appointments including the day-to-day scheduling process for the Executive to assure that their time is handled efficiently. Makes arrangements for the Executive and/or other personnel within designated area of responsibility, for travel, conferences, appointments, and meetings. 4. Assists in compiling and distributing all monthly reports, as needed. 5. Manages the monthly Accounts Payable invoice process to ensure that all accruals are accurately completed and invoices are submitted for payment in a timely manner. 6. Manages all Corporate Authority requests within designated area of responsibility. 7. Oversees the GenSTAR and GenSERV approval process within designated area of responsibility, to ensure that all approvals are given in a timely manner, in conjunction with Corporate policy. 8. Coordinates all aspects of meetings within designated area of responsibility, as needed. 9. Coordinates the preparation of presentations, as needed. 10. Performs other office related duties as requested by the Executive and/or senior management. 11.
