Job Responsibilities

Then this is the job for you! Serving as an Administrative Assistant for the Retail Food Safety Program, your responsibilities will include:

  • Serving as the first line of contact for the public, consultants, and outside agencies regarding the Retail Food Safety program.

  • Assist establishments with registering their business online and paying fees.

  • Researching and providing information concerning Retail Food Safety questions and issues.

  • Performing receptionist duties by answering the telephone and greeting visitors with an amicable and helpful attitude. This includes forwarding calls/concerns to the appropriate staff, agency, or industry partner.

  • Performing office/administrative duties; organizing, developing, and implementing procedures for recording, routing, sorting, distribution, and filing documentation, reports, correspondence, and administrative forms, including the creation, opening, and closing of permitted retail food establishment files and generating/mailing correspondence.

  • Assisting with ordering supplies, collecting information from inspectors, and providing follow-up to our customers.

  • Assisting in the collection, receipting, and overall financial balancing process for funds/fees collected.

Minimum and Additional Requirements

  • A high school diploma with four years administrative experience in an office setting OR an associate degree and two years administrative experience. A bachelor's degree may be substituted for the required work experience.

  • Valid driver's license and ability to operate a motor vehicle.

Preferred Qualifications

  • Retail food safety experience.

  • Ability to operate independently.

Additional Comments

  • This position requires the successful completion of prescribed technical coursework and passing of any test(s) relevant to the position within the probationary or trial period.

  • Proficiency in the use of standard office equipment (computer, printer, copy machine, etc.) and routine office software (such as MS Office) required.

  • Must be able to prepare clear, concise, and comprehensive oral and written reports with minimum or limited errors.

  • Strong organizational skills are required.

  • Ability to communicate effectively with people from diverse backgrounds.

  • Must be able to input and maintain large quantities of data.

  • Occasional in-state, out-of-state (may be overnight) travel required.

  • Position is based on the campus of the Columbia State Farmers Market in West Columbia. (off Hwy 321). This is not a remote position.
