This full-time, classified and overtime eligible position is part of the Nursing Team and reports directly to the Dean of Nursing. The Administrative Assistant 5 provides administrative support for the college's Dean of Nursing, and related programs. This position is responsible for managing office activities, maintaining budgeting records, typing correspondence and accreditation/nursing commission reports, and performing a variety of other secretarial duties. The priority consideration date is July 5th, 2024.

The Administrative Assistant 5 position is represented by The Washington Federation of State Employees (WFSE). The pay range for this role is $4,618.09 - $6,077.10 monthly and salary placement is based on applicable work experience. WFSE employees receive a yearly degree stipend if they have an Associates degree $150, Bachelors $250, or a Masters $350. Other benefits are listed on ourbenefits page and in the

Key Responsibilities / Essential Functions Include

  • Demonstrate multicultural competence (including an awareness and understanding of historically minoritized populations) and maintain an educational and work environment that affirms commitment to equity, diversity, and inclusion.

  • Provide direct support to the Dean and serve as point of contact between administrators, staff, students, and the general public.

  • In the Dean's absence, responsible for resolution of department and building emergencies. Investigate and resolve issues making decisions as authorized.

  • Maintain confidentiality regarding students, staff and personnel records.

  • Maintain and update curriculum information and course coding documents/files for all department programs.

  • Verify information and generate contracts for faculty.

  • Prepare PRGs and construct nursing courses in CTC link before the due dates.

  • Complete the DOH Certificate of completion for the Nursing Assistant program.

  • Manage and Distributed program related surveys

  • Compile data for report for program improvement and Nursing Commission
  • Manage student data, NCLEX pass-rates, pre-reqs, ethnicity and age for DOH education reports and Nursing Commission reports.

  • Coordinate all advisory committee activities, processes, and procedures; keeping up-to-date rosters, minutes, files and attendance records. Send appropriate correspondence and meeting notices. Make necessary arrangements for meetings. Inform the office of the Vice President of Instruction of committee minutes and meeting outcomes.

  • Track graduates from the program for state required surveys and compile data

  • Working with Human Resources, support the coordination of the hiring process of all new part-time instructors. Prepare department orientation materials for full-time and part-time faculty. Responsible for the departmental orientation of new hired faculty and part-time instructors.

  • Create/compose original correspondence on behalf of the department.

  • Support the STUDENT APPLICATION PROCESS/Prospective Students

  • Answer questions on nursing program for prospective students

  • Schedule the time frame for the application process - update to RTC website

  • Collect Applications, input data (TEAS, pre-reqs and CastleBranch) into Excel Spreadsheet

  • Distribute completed applications to the RTC transcript evaluator

  • Participate in Admissions Committee

  • Review applications under the direction of the Dean of Nursing

  • Manage TEAS scores & transfer data into Excel Spreadsheet

  • Communicate Acceptance, Conditional Acceptance and Wait List to prospective students

  • Document findings into spreadsheet for Data report and Commission report

Required Knowledge, Skills and Abilities

  • Demonstrated experience or participation with persons from diverse backgrounds such as sexual orientation, racial, ethnic, religious, linguistic, gender, age, socio-economic, physical and learning abilities, and a commitment to an inclusive and equitable working / learning environment.

  • AA degree and two years of increasing responsible administrative support experience. Additional administrative support experience may substitute educational requirement.

  • Ability to manipulate and analyze data and reports to support operational needs.

  • Ability to maintain confidentiality, think critically and exercise independent judgment required.

  • Ability to work effectively and engage with adult learners, including individuals whose first language is not English.

  • Proficiency using Microsoft Office, specifically experience creating & editing documents, and spreadsheets. Previous success learning new computer software programs/platforms required.

  • Demonstrated ability to promote universal design and accessibility. Proficiency in (or ability to learn within 6 month of hire) the production of accessibly content, whether print or electronic.

  • Excellent leadership and interpersonal skills and ability to work effectively as part of a team.

  • Demonstrated attention to detail required as well as previous experience maintaining accurate records, managing multiple tasks, and planning and organizing work in order to meet changing priorities and deadlines.

  • Ability to represent the college in a positive and professional manner, while using tact, discretion and courtesy.

  • Speaker of a language in addition to English is preferred- preference for top spoken languages in the RTC service area (Spanish, Vietnamese, Russian, Somali, Chinese).

WORKING CONDITIONS:

Work is sedentary in nature and is performed in an office environment that is adequately heated and ventilated. Frequent use of computer and exposure to terminal screens in performing work assignments required. Work hours for this position are 7:30 am to 4:30 pm, Monday

  • Friday.
