The Payments, Virtual Solutions, and Innovation (PVSI) team includes Cards and Retail Services, Deposit Products Group, Innovation Group, Marketing, Operations, Treasury, Merchant, & Payment Solutions, and Wells Fargo Virtual Channels and the professional services teams that partner with these businesses. PVSI's focus is on delivering the next generation of payments and deposit capabilities and advancing our digital and online offerings to design new customer experiences and products. Our guiding principles are to start with the customer, move faster, and partner effectively.

The PVSI Control team ensures effective management of all PVSI risk by integrating risk management into PVSI decision making, business strategy and processes while protecting customers and delivering business results. The team is specifically responsible for the management of non-financial risk, including operational risk, compliance risk, model risk, reputation risk, and strategic risk within PVSI.

The Administrative Assistant 4 will support the Payments, Virtual Solutions & Innovation (PVSI) Controls organization. This position will perform diverse, advanced and confidential daily administrative support duties. As a result, this assistant interacts on a daily basis with other senior level Wells Fargo leaders.

The Administrative Assistant will provide a high level of professional support for PVSI Control executives based in Wilmington, which includes a balance of senior level administrative work as well as ongoing ad hoc and project/business initiatives such as planning meetings, tracking deliverables and pulling routine reports.

Required Qualifications

  • 3+ years of administrative support experience

  • Position may be asked to support an additional leaders

  • Managing all aspects of travel arrangements such as booking, preparing travel itineraries, making changes as needed and preparing expense report submissions

  • Provide phone coverage, schedule and coordinate appointments with complex calendars across multiple time zones. Serve as onsite support in the coordination and planning of meetings

  • Communicates on a regular basis with executive and senior leadership, team members, and others in a timely, diplomatic, and gracious manner

  • Assisting with budgetary planning; balancing general ledger lines and/or expense accounts; researching general ledger issues

  • Drafting complex and/or confidential correspondence

  • Editing documents and presentations as needed and maintaining organization charts

  • Handle all personnel and confidential company materials with sensitivity and discretion

  • Establishes and implements office procedures and controls

  • Coordinates facilities support, floor administration, space planning

  • Order and maintaining office supplies

  • Greet visitors and be a strong ambassador of the team

  • Act as point of contact for PVSI engagement events

  • Office mail management

  • Manage monthly anniversary report Intermediate Microsoft Office (Word, Excel, Outlook and PowerPoint) skills

  • SharePoint experience

  • Strong attention to detail and accuracy skills

  • Excellent verbal, written, and interpersonal communication skills

  • Demonstrated ability to prioritize multiple tasks in order to successfully meet deadlines. Strong organizational and prioritizing skills

  • Ability to work effectively in virtual environment where key team members and partners are in various time zones and locations

  • Customer service focus with the ability to respond to requests in a timely manner

  • Experience using Wells Fargo systems including Concur, Time Tracker, etc.

  • Ability to maintain absolute confidentiality and discretion, and inspire trust by behaving in a way that suggests personal discretion and integrity

  • Ability to work independently to analyze and solve problems

  • Adaptability in a fast-paced environment with competing and changing priorities

  • Ability to be flexible and adjust plans quickly to meet changing business needs

  • Experience managing complex and dynamic calendars

  • Track record of superior partnership skills and a collaborative approach; ability to interact with all levels of the organization

  • Deep knowledge (i.e. Subject Matter Expert) of Wells Fargo's policies, procedures, and guidelines for travel and expense management

  • Ability to interact with integrity and a high level of professionalism with all levels of team members and management

  • Ability to work effectively in a team environment and across all organizational levels, where flexibility, collaboration, and adaptability are important

  • Ability to identify and assess issues then make sound decisions
