The Position
Administrative Assistants perform a broad variety of clerical, secretarial and administrative support duties in an assigned agency, program or other work unit within State government and the Nevada System of Higher Education.

The Division of Public and Behavioral Health is recruiting for an Administrative Assistant 4. The Admin Assistant will oversee the administrative operations within the BBHWP.
The assistant will manage office procedures, support staff coordination, and uphold compliance with various policies and procedures specific to Nevada, DPBH, and BBHWP.
This position will provide comprehensive support to the Bureau Chief. Duties include developing and enforcing office policies and procedures in line with various Nevada state laws, policies, and regulations.
Manage records retention by following appropriate statute and regulation. Ensure compliance with HIPAA and Nevada state privacy laws.
Oversee state equipment inventory for the Bureau. Coordinate the training and development of administrative staff within the Bureau. Maintain up-to-date forms, binders, and manuals.
Manage a master calendar for state-wide events, meetings, and training sessions that impact the Bureau. Facilitate staff registrations for state-approved training and manage Nevada-specific training portals. Oversee and track state required training required for staff.
Maintain office services by developing, organizing, and training on office operations and procedures. Design filing systems, write procedural associated manuals, and train on them as appropriate. Review and approve supply requisitions, ensuring inventory is stocked with necessary clerical supplies.
Assign and monitor clerical functions among office staff to ensure efficient task. Prep the Bureau for Interim Finance Committee, Board of Examiners, and any other meeting that requires binders being created and talking points being organized. Manage the Bureau Chief's calendar, including setting up meetings, appointments, and reminders.
