Summary:

As an Administrative Assistant 4 on the QA team, you will perform duties including providing administrative and office support for the team located in San Diego, and partner RDI; supporting all team members from Leaders to agents including but not limited to ordering office supplies & equipment, responding to inquiries, complaint replacements, record documentation and supply management; communicating effectively with Leadership and Partners. Liaison for employees, middle and top-level managers between sites and vendors as well as manage the Global Service & Support Communication channel. You must possess the ability to multi-task in a high pace growing environment while adhering to standards of accuracy, meeting deadlines, support service level goals, work under pressure and an expert at details orientation.

Functional Description:

Provides administrative and clerical support to relieve department managers or staff of administrative details. May coordinate messages, appointments, information to callers, file maintenance, department office supplies and mail. Researches, compiles and proofs word processing assignments. Operates automated office equipment. May be assigned to various functional areas of the company.

Essential Duties & Responsibilities:

  • Service & Support Global Communication: Hub for sending out communication to all Service & Support sites regarding pertinent product updates, organization changes, office operation updates, Partner (Tandem / RDI) Updates and reminders, Events, System Impact Notices (maintenance), Training updates, and Process updates, etc.

  • Space Planning: Oversee all aspects of Department Office Space and orchestrating from start to finish which entails understanding the scope of the request, coordinating with QA and Enterprise Capacity Planning for employee schedule, working with Facilities and IT the schedule of the move logistics, and schedule pick-up (after the move). Create seat maps and floor plans of individual seating.

  • iProcurement:

  • Manage all supplies and place rders on an average of 4-5 times per month via Oracle iProcurement.

  • Manage all equipment and places rders for equipment via IT portal

  • Oversee all Aspects of General Office Operations:

  • Enter Netwrk Access Request Forms for Vendor Employees

  • Enter Netwrk Access Request Update for existing Vendor Employees by request

  • Retrieve sensitive prduct and customer information via web portals; EBS, OSC, etc.

  • Maintain confidentiality in all aspects of client and agency information

  • Prepare respnses to correspondence containing routine inquiries

  • Wrk effectively with all internal departments

  • Perfrm general clerical duties which include: Create and modify documents using Microsoft Office and Visio

  • BPO Support:

  • Partner with ECP and vendr in scheduling discussions and new hire onboarding management

  • Cordinate with all aspects related to Network Access requests for bi-weekly new hires

  • Reward & Recognition: Support Team to orchestrate and organize event (multi-sites); distribution of recognition ribbons, enters employee certificates, trophies for reaching goals and outstanding performance. SME in EPIC.

  • Other duties as assigned

Experience and Education Requirements:

  • Typically requires a minimum of 6 - 8 years of related experience and a High School Diploma/Certificate or equivalent.

  • Extensive data entry skills including experience with procurement

  • Experience managing multi-site communication channels to all levels of staff

  • Must have intermediate to advanced skills using computers including MS Office applications such as Outlook, Word, Excel, PowerPoint as well as the ability to learn customized software applications used to support the team

  • Strong communication skills both written and verbal are necessary

  • Must be able to multitask, adhere to standards of accuracy, meet deadlines, support service level goals, work under pressure and, be detail oriented

  • Must be able to communicate effectively in English, both written and oral

  • Work at this level requires following established practices.

  • May independently plan own work, referring only unusual cases to supervisor.

  • Assignments are complex in nature where judgment and initiative is required in resolving problems and making recommendations.

  • Thoroughness and reliability are essential as errors would result in a possibility for loss and normally affect other groups.

Language Skills:
Must be able to communicate effectively in English. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
