General Summary

This position is 30 hours per week.

Performs diverse administrative responsibilities for a department or manager.

Principal Duties and Responsibilities (*Essential functions)

  • This position is subject to Wage Determination as outlined in the McNamara O'Hara Service Contract Act.

  • This position uses some subject-matter knowledge and judgment to complete assignments consisting of numerous steps varying in nature and sequence.

  • Other duties include assisting in a variety of administrative matters; maintaining a wide variety of financial or other records (stored both manually and electronically; verifying statistical reports for accuracy and completeness; compiling information; and handling and adjusting complaints.

  • Gathers data and prepares designated reports for department.

  • This position may require purchasing materials, supplies, or services for the Government customer and entering purchase requisitions.

  • May coordinate with other departments to resolve purchasing issues.

  • May coordinate meetings and special activities

  • May perform data entry and maintain specific database programs

  • May involve exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion and judgment

  • Will perform data entry in budget control spreadsheets, project labor category database, proposal documents, and personnel coverage spreadsheets.

  • Will enter employee activity reports into a monthly form for government customer.

  • Will create internal work authorizations for employees.

  • May assist with purchasing duties.

Required Experience

Required Qualifications

  • High school diploma or equivalent

  • Minimum of five years related experience

  • Working knowledge of desktop applications including word processing, spreadsheet and database applications

  • US Citizenship required

Preferred Qualifications

  • Experience with DELTEK COSTPOINT or similar databases.

  • Proficient in Microsoft Excel

The department uses a comprehensive, integrated security management system for access control; badge production; fingerprinting; key issuance and accountability; passport/visa photo production and issuance; visit request processing; and management of security records. i3 is seeking a Security Assistant who possesses both proficient personnel security experience and a strong human resources background. The successful candidate must have excellent organizational, communication, and computer skills with the ability to multi-task while balancing a variety of duties. Specific duties of the Security Administrative Assistant will focus on the security duties which will include, but will not be limited to the following: * Provide Personnel Security Support: * Articulate the Office Security mission to customers and associates at service counters; greet senior executive staff; receive visitors; and provide timely and accurate information to these customers and staff. * Manage a multi-line telephone system including answering incoming calls; taking necessary actions such as transferring calls to appropriate personnel * Process Personal Identity Verification (PIV)/Common Access Cards (CAC). * Process and mail all Security Clearance documents as requested. * Perform duties such as taking fingerprints; programming access cards and producing finished badges; and processing fingerprint requests for Customer Service Center customers. * Process requested credentials and enter requests into Credential System. * Provide entries into existing computer databases for building access and information; provide verification of biographical and security data; process visit requests; and track physical property assets for accountability (e.g., badges, keys, etc.). * Ensure data is properly entered into SIMS (Security Information Management System) to include maintaining contractor separations of duty, clean up and correction of personnel security records, and pre-appointment and adjudication actions. * Serve as a liaison to bureau representatives concerning record discrepancies. * Plan, organize, and prioritize work in a high-volume, fast-paced security environment, including the ability to maintain poise, tact and self-control while under pressure, and the ability to follow through on tasks. * Demonstrate strong customer service skills both in person and by telephone, and work effectively as a team member, and balance the interests of a variety of clients. * Protect privacy and ensure policy and procedure compliance. * Develop, provide, and transmit effective communications, both oral and in writing. * Execute word processing and data entry. * Other general office duties, as assigned. Job Requirements: * High School Diploma is required. * Minimum of two years of experience within the Industrial Security realm. * Must possess excellent reading, writing, and communicating skills. * Must be able to communicate and understand verbal and written English with the ability to speak the English language fluently, clearly and effectively when addressing with government employees, contractors and associates, visitors and the public. * Must be computer literate and able to operate a standard computer workstation in a Microsoft Windows environment. * Must possess experience working with Microsoft PowerPoint, Outlook, Excel, and Internet Explorer. * Must be able to lift 40 pounds from the ground to waist level. * Must be able to withstand prolonged periods of standing, stooping, walking, and reaching. * Work performance may require employee to be exposed to adverse weather and uncomfortable environments. * Must maintain a neat and professional appearance. * Eligible applicants must be able to substantiate training and qualifications upon request.
