Position Overview

The Washington State Board for Community and Technical Colleges (SBCTC) is seeking candidates to fill a recently vacated administrative assistant position for the Education Division. This position performs a variety of complex and administrative duties in support of the Director for Transfer Education, and other staff in the Education Division.

Reporting to the Director of Transfer Education, this position is headquartered in Olympia, Washington, and maintains supportive relationships with administrative and other personnel of SBCTC.

Hybrid remote working arrangements may be considered, however travel to Olympia for in-person meetings is required.

Principal Activities

  • Compose and proof office correspondence.

  • Schedule meetings and maintain calendars as necessary.

  • Prepare correspondence, reports, presentations and other printed materials according to department standards; edit materials for accuracy, readability, and appearance, using appropriate technology tools.

  • Coordinate travel -- Process registration, make flight arrangements, book hotel accommodations, and prepare travel itineraries as appropriate.

  • Provide committee support -- prepare agendas and meeting material, make necessary arrangements, take minutes, follow up on assignments. Update rosters.

  • Coordinate events -- secure facilities and equipment, prepare contracts, arrange catering, develop budget, manage registration process, compose conference material, oversee on-site logistics (travel required).

  • Manage organization records such as contracts, correspondence, budget etc.

  • Maintain the Education Division webpages.

  • Under general direction, plan, organize and prioritize work to ensure work unit and/or office goals are met. Monitor and report progress of projects and activities to meet deadlines.

  • Perform other duties as assigned.

Knowledge, Skills, & Abilities

  • Communicate effectively orally and in writing.

  • Compose and proof office correspondence and take minutes.

  • Perform multiple tasks with conflicting timelines.

  • Make independent decisions about work priorities.

  • Work independently, exercising good judgment and initiative.

  • Use word processing, spreadsheet, database, online meeting technology (Zoom, WebEx, etc.), and presentation software.

  • Ability to create accessible documents.

  • Demonstrate flexibility and agility about last minute changes to schedules and plans.

  • Be punctual in attendance and in meeting all deadlines.

Qualifications

  • High school graduation or equivalent and three years of progressively responsible work experience in a professional office environment performing high-level secretarial duties.

  • Proficient in the use of Microsoft Office Suite Software applications such as Word, Outlook, Excel, PowerPoint, and Access.

  • Demonstrated ability to work independently and perform multiple tasks with conflicting timelines, while maintaining a sense of humor.

  • Excellent collaboration skills and enthusiasm for working as part of a team in support of Washington community and technical colleges.

  • Excellent organizational skills.

  • Excellent written and oral communication skills.

  • Demonstrated commitment to social justice, equity and inclusion.
