The Motor Vehicle Division at the Iowa Department of Transportation is in search of an Administrative Assistant II.  This position supports the customer service needs of the Customer Services Bureau Motor Carrier Services Team. This team administers Motor Carrier program areas to include International Fuel Tax Agreement (IFTA), International Registration Plan (IRP), Unified Carrier Registration (UCR), Intrastate Authority, Transit Fuel, Titling of commercial vehicles, and Oversize/Overweight Permitting. These programs serve state and provincial governments in North America, interstate and intrastate trucking companies, law enforcement agencies across the nation, Federal Motor Carrier Safety Administration (FMCSA), Federal Highway Administration (FHWA), and the Iowa Department of Revenue (DOR).

This position is located in our Ankeny, IA office.  Standard work hours are 8:00 am

  • 4:30 pm, Monday

  • Friday.

The purpose of this position is to provide polite, quality, and professional customer service and meet customer needs in all program areas of the office.

Here is what you'll do:

  • Professionally represents the department in a variety of settings including internal and external meetings and conferences.

  • Effectively uses communication methods and tools (written and verbal) to respond to and resolve concerns and issues.

  • Responsible for advising employees, answering questions, distributing and checking work.

  • Assist in the review of legislation, administrative rules, and policy changes around Oversize/Overweight Permitting. Serves as a backup to other MCS programs.

  • Communicate with internal and external customers to problem solve in a polite, courteous, and cooperative manner.

  • Recommends and advocates for changes that help with the efficiency of the department.

  • Troubleshoot system problems, analyze operation errors, and be able to contact appropriate personnel to fix the problem.

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  • Graduation from an accredited four-year college or university with a bachelor's degree in any field, and experience equal to one year of full-time administrative support (e.g., screening visitors and callers; opening/distributing mail, typing/proofing documents, letters, and reports; organizing files; scheduling meetings/appointments; arranging travel; processing travel claims; ordering supplies/equipment) or technical support work (e.g., determining budget, personnel, and equipment needs; compiling/evaluating statistical, historical, economic, business, financial or technical program data; interpreting or securing compliance with laws, rules and regulations; reviewing operating records/reports and evaluating their effectiveness).

  • A total of five years of education and/or full-time experience (as described in number one) where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience.

  • Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as an Administrative Assistant 1.
