Job Description:

This position is imperative to the effective and efficient operation of the University Police Department, supporting the Chief of University Police and Director of Emergency Management and working with the University Police Officers.

Duties include:

  • Answering telephones and providing information to callers, taking messages, and transferring calls to appropriate individuals.

  • Dispatches University Police Officers to various emergency and routine requests for assistance for and from the campus community and ensures that the appropriate needed resources are dispatched or advised.

  • Is the primary point of contact for all students, visitors, faculty, and staff that come to the University Police Department to report emergencies, alarming or threatening behavior as well as routine requests for assistance and information.

  • Assists in the management of the following data bases which all have imperative operational and regulatory impact on the University Police Department:

  • Impact records Management System

  • Parking Management System - which includes handling all purchases and distribution of parking permits, collection of parking fines, and resolving day to day issues with operational problems and ticket appeals.

  • Departments DCJS Accreditation Records and General orders.

  • Tracks and coordinates assignments.

  • Uses various information technology applications such as email, database, spreadsheets, and word processing applications.

  • Creates, maintains, and enters information into spreadsheets and databases.

  • Maintains scheduling and event calendars.

  • Makes travel arrangements for staff. Creates and submits travel expense reports for staff.

  • Completes forms in accordance with agency procedures.

  • Locates and attaches appropriate files to incoming correspondence requiring replies.

  • Mails various items including letters, reports, and promotional materials; and prepares packages and arranges for them to be shipped.

  • Orders and distributes supplies.

  • Creates conference or event materials such as flyers or invitations.

Requirements:

Minimum Qualifications

  • Must be reachable on the Administrative Assistant 1 / Administrative Assistant Trainee 1 canvass list,

  • OR eligible for transfer or reinstatement into the title, OR

  • For Administrative Assistant 1 - Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation,

  • ?Certification (e.g., IAAP Certified Administrative Professional) or associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.

  • For Administrative Assistant 1 Trainee

  • Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.

Additional Information:

  • The Administrative Assistant Trainee 1 is a SG-8 with a salary range of $38,073 - $46,886, and The Administrative Assistant 1 is an SG-11 position with a salary range of $44,957 - $55,093.

  • The traineeship is 18-24 months in length, starting as an Administrative Assistant Trainee 1 for a year period and then promoting to an Administrative Assistant Trainee 2 for a minimum of 6 months to a year.

  • This is a full-time, permanent appointment.

  • The schedule is Monday

  • Friday 8:00AM - 4:15PM
