The Position

Administrative Assistants perform a broad variety of clerical, secretarial and administrative support duties in an assigned agency, program or other work unit within State government and the Nevada System of Higher Education.

Incumbents possess a degree of knowledge and proficiency sufficient to perform work independently with little or no additional training.

The Nevada Department of Corrections (NDOC) is seeking a full-time Administrative Assistant 1. This position will be located at the Casa Grande Transitional Housing Center in Las Vegas, NV and will support the Administrative and Inspector General's (IG) Divisions.

National Crime Information Center (NCIC) familiarity/experience is highly desirable. Typical duties include maintaining records and files; composing and editing correspondence; data entry; typing and word processing; answering telephones and relaying information; reception; duplicating and distributing materials; preparing for meetings and taking minutes; ordering and stocking supplies and equipment; receiving, sorting and delivering mail; reviewing and processing applications, forms and other documents; operating office equipment such as copiers, personal computers, computer terminals, calculators, facsimile machines, printers, and other equipment; and performing related duties as assigned. To Qualify:

In order to be qualified, you must meet the following requirements:

Education and Experience (Minimum Qualifications) Graduation from high school or equivalent education and one year of clerical experience which included experience in one or more of the following areas: maintaining records, answering telephones, and reviewing forms, documents and other written materials; OR six months of experience as an Administrative Aid in Nevada State service; OR an equivalent combination of education and experience. Special Requirements A State of Nevada/FBI background check will be required of the selected applicant.

A pre-employment criminal history check and fingerprinting are required. Requires a valid driver's license or evidence of equivalent mobility at the time of appointment and for continuing employment.

VIEW JOBS 1/4/2019 12:00:00 AM 2019-04-04T00:00 GENERAL SUMMARY OF DUTIES – Functions as part of the Far West Division Administrative Support Staff and will support office functions as assigned (i.e. front desk receptionist, record keeping, travel arrangements, preparation of expense reports, scheduling meetings, etc.). This position will also provide administrative support to assigned Senior Team members. Specific duties will be subject to the assigned team members needs. This position will rotate to assigned Senior Team members as the need is identified. MANAGER – This position reports to the Far West Division CFO and CNO. All assignments will be made through the reporting manager. DUTIES INCLUDE BUT ARE NOT LIMITED TO: * Coordinates travel arrangements through World Travel and processes travel expense reports via Concur and prepares reimbursement reports as requested. Assists others with scheduling and travel, as requested. * Schedules meetings (internal/external to the organization) including conference calls, teleconferences and web seminars as requested. * Locates and assembles information for various reports, briefings, and conferences. * Maintains Outlook calendars and email as assigned. * Prepares (word processes) reports to comply with Division reporting activities. * Performs a wide variety of word processing duties such as, composing correspondence, preparation of forms, charts, schedules, and presentation materials as needed. * Establishes and maintains confidential and operational files for Division related correspondence and maintains confidential and operational files (hard copy and electronic) filing systems as requested. * Accesses reports and inputs data in office operational systems needed to support assigned Senior Team personnel. * Support orientation of new division personnel as requested. * Maintains the Division policy & procedure manuals (specific to the executive being supported). * Answers phones and screens phone calls, assists and directs callers and take messages as necessary for FWD office. * Maintains schedule of use of conference rooms. * Sorts and distributes mail and other deliveries. Prepares packages for overnight delivery. * Orders office supplies. * Flexible in supporting any office projects needing extra attention due to specific deadlines. * Assists other administrative support staff with projects and cross-coverage if needed. * Practice and adhere to the HCA Code of Conduct and HCA Mission, and values statement. EDUCATION: * High School Diploma required; Associate Degree preferred. EXPERIENCE: * One year Executive Assistant experience required. * Experience in health care preferred. * Team Player.
