Terrace Hill, the Iowa Governor's Residence and National Historic Landmark, located at 2300 Grand Ave in Des Moines, IA is seeking candidates for the position of Administrative Assistant 1. As the Communications & Events Coordinator and Administrative Assistant, you'll play a pivotal role in coordinating Terrace Hill's programs, events, and tours. This is an opportunity to work at a unique historic site and make a genuine impact at the home of Iowa's governor.

What You'll Do: The position of Communications & Events Coordinator and Administrative Assistant is a public-facing role, serving a variety of roles to share Terrace Hill's events, programs, and tours with the public, including:

  • Coordinating all Terrace Hill and rental events by preparing, confirming, and tracking action plans for each event.

  • Coordinating and executing all publicity and media for Terrace Hill events, including creating press releases; posting on public calendars; placing and confirming all paid advertising; and scheduling TV and radio interviews.

  • Carrying Terrace Hill's branding guidelines forward in all photography, video, and graphic design needed for event publicity and social media.

  • Maintaining the Terrace Hill website and social media pages, elevating Terrace Hill's online presence and ensuring accurate and engaging information for all.

  • Developing and distributing Terrace Hill's monthly email newsletter, consistently delivering polished and engaging content.

  • Answering the central phone line, always representing Terrace Hill and the state of Iowa in a friendly and professional manner.

  • Assisting the Public Service Manager 1 to carry out program responsibilities, including: monitoring the purchases of supplies/equipment; preparing all invoices and Pcards for payments; documenting all item expense codes and maintaining and appropriately filing electronic copies of receipts; and submitting all reimbursement requests in relation to Terrace Hill activities.

  • Proactively seeking opportunities to improve Terrace Hill's operations; conducting research and proposing strategic actions that help our decision-making process.

  • Maintaining meticulous records, ensuring that our information is not only up-to-date but a useful asset in meeting and exceeding our goals.

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  • Graduation from an accredited four-year college or university with a bachelor's degree in any field.

  • A total of four years of education (as described in number one) and/or full-time experience in accounting, secretarial, or office support work collecting, compiling, reporting, examining and/or editing numerical data; coding and qualifying people for benefits, licenses, or other transactions; preparing and keeping budgetary accounts and projections; organizing and implementing office support operations; advising on procedural processes; or other work that provided direct support and exposure to substantive agency programs, where one year of full-time experience is equal to 30 semester hours of education.

  • Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as a Secretary 2, Clerk Specialist, Public Service Supervisor, Accounting Technician (any level), Purchasing Assistant, or Human Resources Technical Assistant.
