Minimum Qualifications Minimum Qualifications:

The successful candidate must be reachable on the full-time, permanent Civil Service list for Administrative Assistant 1, or must have held the permanent title of Administrative Assistant 1 in the past or be eligible to transfer into the title.

OR

Appointment may be made at the Administrative Assistant 1 Traineeship level, (grade 8 or grade 10) leading up to Administrative Assistant 1, grade 11 title. Successful candidates interested in the Traineeship must have 1 year of service in a clerical title allocated to grade 6 or higher (e.g., Office Assistant 1). Successful completion of the traineeship requires taking eight courses in the following competencies: Professionalism and Self-Management, Verbal and Written Communication, Interpersonal and Customer Relations, and Computer Skills and Technology.

Preferred Qualifications:

  • Technical Proficiency: Comfortable using various software applications, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint, Power BI), database management systems, and assessment-related software (currently Taskstream).

  • Organizational Skills: Ability to manage multiple tasks, prioritize workloads, and maintain an organized workspace and filing system.

  • Attention to Detail: Strong eye for detail to ensure accurate data entry, report generation, and document preparation.

  • Time Management: Ability to meet deadlines, manage calendars, schedule appointments, and coordinate meetings and events.

  • Documentation: Proficiency in maintaining accurate records, documenting procedures, and archiving assessment-related materials

Duties Description • Respond to phone calls, in person visits and emails in a timely and professional manner

  • Respond to inquiries with general information regarding office and university processes.

  • Manage calendars for event spaces with EMS.

  • Utilize Banner and Argos programs.

  • Assist with scheduling of Fall and Spring Classes, pre-enrollment, and Red Dragon Reading Series

  • Assign students to advisors in the department

  • Produce and track work orders, print shop orders, purchase orders, travel materials; assist faculty with copying and print shop orders.

  • Manage budget through BI; maintain department spreadsheet.

  • Send communications to campus about events using Campus Connection and the Bulletin.

  • Schedule appointments on the Chair's calendar and assist with Chair's tasks.

  • Provide administrative assistance for faculty work related to teaching, research, university, and departmental duties.

  • Assist faculty by organizing and filing paperwork both manually and electronically

Additional Comments DESCRIPTION

The English Department has 10 full-time professors and 10 adjunct professors offering courses in composition, creative writing, literature, linguistics, and theory. We currently have 142 majors, including dual-Education majors, and 105 Elementary Education English Concentrates as well as a number of minors in Creative Writing, Professional Writing, English, and Classics.
