Administrative Assistant Trainee 1: High school or high school equivalency diploma.

Reassignment & Transfer Opportunities: Current New York State Department of Health employee with permanent or contingent permanent status as an Administrative Assistant 1, Grade 11, OR current New York State employee with one or more years of permanent, contingent-permanent, or 55 b/c service as an Administrative Assistant 1.
OR: Current New York State employee with one or more years of permanent, contingent-permanent, or 55b/c service in a position allocated to Grade 6 or above, and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.
Provisional Appointment: In the absence of an eligible list with three or more candidates willing to accept a position, a temporary provisional appointment may be considered. For provisional appointment, candidates must meet one of the following minimum qualifications: Be a current NYS Department of Health employee with one year of permanent competitive or 55-b/55-c service as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher. The preferred candidate must be able to work with a diverse group of professionals; have strong organizational and communication skills (written and verbal), strong attention to detail, and a desire to contribute to a team-oriented workplace. The preferred candidate must be able to manage and organize multiple tasks in a fast-paced office setting; knowledge of office administration; proper grammar, punctuation, spelling, and business communications and have proficient computer skills; including experience using Microsoft Office products.
Duties Description Within the Division of Eligibility and Marketplace Integration Bureau of Division Support, the Administrative Assistant 1 will provide support for DEMI managers, ensure efficient office operations, and help provide for adequate resources in support of program objectives. Duties may include but not be limited to: Maintain scheduling and event calendar for managers; schedule and confirm meetings; coordinate conferences, meetings, interviews, or special events; review work done by others to check for correct spelling and proper grammar, ensure that office format policies are followed, and recommend revisions; answer telephone and give information to callers, take messages, and transfers calls to appropriate individuals; contact DEMI, OHIP and DOH staff and external parties to gather information as needed; compose, type, and distribute meeting notes, correspondence, and reports; open, read, route, and distribute incoming mail or other materials and answer routine inquiries ; set up and manage electronic filing systems; use various information technology applications such as email, database, spreadsheets and word processing applications; create, maintain, and enter information into spreadsheets and databases; make travel arrangements for staff; submit travel expense reports for staff; create conference or event materials such as flyers or invitations
