Job Description:
The Department of Communication Studies at the State University of New York at Oswego invites applications to fill a full-time, permanent Administrative Assistant 1 position, Grade 11.

Description of Responsibilities:
Budget and Certifications:
Review all budgets, purchasing needs
Certify accounts
Budget Reports
Coordinate and Schedule:
Candidates and reviewers; appointments with various constituencies
Monitor, assess, and coordinate semester schedules
Assist with room changes, room requests, room reservations
Tours and classroom visits
Adjuncts and new hires
Coordinate with broadcast engineers regarding spaces, purchasing needs, facilities, etc.
BizHub, Office Equipment, and Supplies:
Assist faculty and staff with operation of machines
Make copies as requested by faculty
Scan articles from various sources from faculty
Maintain machine
Inventory supplies for office machines
Maintain Office Files and Other Correspondence (Paper and Electronic):
General department files
Collect and file syllabi for current and past semesters, faculty CV's, etc.
Update and manage department website
Update and manage department Brightspace site
Coordinate with faculty for the department social media accounts
Post announcements
Update and maintain department calendar
Major Programs (BRC, COM, JLM, PRL, Strat COM, and Special Programs (Media Summit, etc.)):
Assist the advisement coordinator with forms, advisor assignments
Maintain any curricular handouts for all programs
Assist Media Summit Director, Internship Coordinator, Unit Coordinators,
Grad Coordinator, BRC 108/COM 210/COM 211 coordinators with clerical tasks
Liaison between department and multiple entities on and off campus:
Alumni
Financial Aid
Parents
Human Resources
Students
Academic departments
Registrar
Dean's office
Admissions
Reservations:
Monitor and reserve Lanigan 20, Penfield 215, MIDI lab with ART, and other spaces as needed
Submit electronic room requests for classroom activities as requested
Submit electronic room requests for event management as requested
Secure reservations for candidates, guests, and reviewers
Assist Faculty and Staff with Paperwork/File Documentation Regarding:
Advising
Search committee reimbursements
Travel requests
Other forms
Travel reimbursements
Extra service
Winter and summer offerings
Appointment forms
General Office Activities:
Maintain and monitor key log, departmental promotional materials, and general office supplies
Pickup and distribute departmental mail and packages
Organize and monitor office supplies and furniture
Supervise, Schedule, Assess, and Monitor:
Requirements:
Minimum Qualifications:
Candidates must be permanent competitive or 55 b/c employees of New York State to be eligible to apply for this position.
Permanent Appointment:
One year of permanent competitive service as an Administrative Assistant 1 OR be reachable on the Administrative Assistant 1 eligible list OR have one year of permanent competitive or 55b/c service in a title eligible for transfer under Section 70.1 of the law; or 55b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.*
Trainees will be required to take four mandatory courses in the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, SG-11.

70.1 Transfer or Reinstatement:
One year of permanent competitive or 55b/c service as an Administrative Assistant 1 OR have one year of permanent competitive or 55b/c service in a title within two salary grades of the target title that is eligible for transfer under Section 70.1 of Civil Service Law.
Reassignment:
Permanent competitive or 55b/c service as an Administrative Assistant 1.
Provisional Appointment:
Eligible for provisional appointment under NYS Civil Service guidelines.
Conditions of Employment:
This will be a permanent or provisional appointment. Candidates should be aware that a preferred list, transfer list, placement roster, and/or reemployment roster of laid-off State employees may be certified against this vacancy by the Department of Civil Service.
