Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, if they meet the below NY HELPS minimum qualifications.
NY HELPS Non-Competitive Minimum Qualifications:
Administrative Assistant Trainee 1: High school or high school equivalency diploma.
Administrative Assistant Trainee 2: High school or high school equivalency diploma; and one year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
Administrative Assistant 1: High school or high school equivalency diploma; and two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
Substitution: Certification (e.g., IAAP Certified Administrative Professional) or associate degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
It is expected that employees hired under NY HELPS will have their non-competitive employment status converted to competitive status in the future, without having to compete in an examination. Employees will then be afforded all of the same rights and privileges of competitive class employees of New York State. Duties Description The Administrative Assistant 1 will provide office support and perform clerical duties including, but not limited to: accepting calls, retrieving messages and routing calls/messages appropriately; maintaining the Division's supply inventory; coordinating schedules and scheduling meetings; typing, proofreading and generating reports, letters, documents, and other communication on behalf of he Division; filing and recordkeeping consistent with the Department's established protocols; accepting, tracking, and routing all incoming and outgoing postal mail consistent with established Division policies and procedures; data entry; coordinating travel and serving as a Travel Proxy for Division leadership; and other duties as assigned.
Additional Comments This position includes a 2-year traineeship. The first year is equivalent to a grade 8, the second year is a grade 9. After successful completion of the traineeship, the employee would be a grade 11.
