The Department of Commerce, Community, and Economic Development, Division of Alcohol and Marijuana Control Office, is recruiting for an Administrative Assistant 1 located in Anchorage!

What you will be doing:

The Alcohol and Marijuana Control Office (AMCO) is seeking a highly motived and adaptable employee to join our administrative team.  You will be responsible for assisting with the daily administrative functions such as: processing payroll, reviewing and coding invoices for goods and services, processing daily deposits, coordinating travel, website management, customer service, and researching and entering procurement purchases.

In your role you will be an essential part of helping AMCO run the day-to-day operations and assisting the various sections within our office.  Additionally, you will be the primary person that coordinates all marijuana handler permits, processes daily deposits, and payroll.

The hours and schedule can be flexible. Currently this position is not eligible for telework.

The position is part of the licensing team located in Anchorage in the State of Alaska Atwood building on the 16th floor, with a spectacular view of the inlet, close to the park strip for those summer walks, and within walking distance to various eating establishments. There is ample covered parking provided in the Linny Picillo parking garage so you don't have to brush the snow off your car!

Who we are looking for:  

We are looking for a candidate that possess some or all of the following knowledge, skills and abilities:

  • Strong customer services skill and willingness to guide customers through complex matters both verbally and in writing.

  • Excellent organizational skills, to allow for meeting deadlines and work expectations with the ability to multitask, establish priorities, and work well under pressure with numerous interruptions.

  • Knowledge of researching procurement purchases and entering in IRIS FIN and reviewing invoices for accuracy and coding for payment.

  • Demonstrated high degree of work ethics, professional work habits, positive team work, and punctuality.

  • Ability to successfully input and extract information from a database.

Six months of advanced clerical experience. This experience includes work such as Office Assistant 2, Accounting Clerk, and similar classes with the State of Alaska or the equivalent with another employer.

OR

Six months of any combination of post-secondary education, vocational education, and/or advanced-level clerical experience. (Three semester or four quarter hours of post-secondary education are equal to one month of experience; 150 hours of vocational education are equal to one month of experience.)

Special Note:

Examples of advanced clerical experience include:

  • Reviewing complex or questionable applications or documents and searching files and regulations to determine accuracy of information to clarify applicant status; using judgment in applying criteria, rules, regulations, and policies; providing information to organizational unit staff on administrative processes and procedures; tracking expenditures; and completing necessary administrative paperwork according to regulations.

  • Composing letters and memoranda; completing and reviewing forms for completeness and accuracy using readily available information from multiple sources and established guidelines and procedures. Examples of such tasks include time sheets, appointment paperwork, or required drug testing notifications for employees in positions requiring possession of a valid Commercial Driver's License (CDL).
