Born in June, Creative seeks a highly organized Administrative Assistant passionate about digital media and social justice to join our small, highly collaborative team. In this role, you will support the CEO, our clients, and business operations. 

About the Role:

You will be responsible for various administrative tasks, including scheduling meetings with internal and external audiences, invoicing and expense reimbursements, and developing meeting notes and agendas. 

Other duties include, but are not limited to:

  • Providing administrative support to the CEO & President, including arranging appointments and meetings.
  • Proofing and crafting explicit, error-free communications emails and memos
  • Supporting grantmaking activities, including coordinating site visits, entering reporting data, and organizing filing systems
  • Preparing and distributing meeting agendas and minutes
  • Submitting invoices and reimbursement requests to clients 
  • Supporting logistics for virtual and in-person events, such as client meetings and production days. 
  • Performing other administrative tasks as assigned

Requirements

Requirements Qualifications: 

We seek a highly organized, detail-oriented Administrative Assistant with a knack for navigating complex environments involving C-Suite executives and high-level stakeholders within the philanthropy, nonprofits, and advocacy sectors. This role requires a proactive individual who can manage multiple priorities, support executive functions, and facilitate the smooth operation of our leadership interactions. The ideal candidate will possess exceptional administrative skills and the ability to understand the nuances of working within the social impact sectors.

The ideal candidate will possess the following qualifications and attributes:

  • Experience and Education: Bachelor’s degree or equivalent combination of education and experience, with at least five years of relevant administrative experience required
  • Executive Support Experience: Proven track record of effectively supporting C-Suite executives and managing interactions with senior-level stakeholders, including scheduling, emails, and preparation of meeting materials.
  • Sector Awareness: Demonstrated familiarity with the philanthropy, nonprofit, and advocacy sectors and understanding the specific challenges and opportunities these environments present. 
  • Communication Skills: Excellent verbal and written communication abilities, with the skill to draft correspondence, manage email communications, and facilitate communication to and on behalf of executives.
  • Organizational Excellence: Exceptional organizational skills, including the ability to manage complex calendars, coordinate events and meetings, and keep track of critical documents and action items.
  • Interpersonal Savvy: High emotional intelligence and interpersonal skills, capable of building relationships across the organization and with external partners in a manner that reflects positively on the executive office.
  • Discretion and Confidentiality: Ability to handle sensitive information with the highest degree of integrity and confidentiality.
  • Problem-Solving: Resourcefulness in solving administrative problems, anticipating needs, and proposing solutions to ensure the smooth functioning of executive activities.
  • Technology Proficiency: Strong skills in office productivity software (e.g., Microsoft Office Suite, Google Workspace) and the ability to quickly learn new tools and technologies as required.
  • Initiative and Independence: We are 100% remote except for occasional staff retreats, deep dives, or client meetings/events. The ability to work independently, take initiative, and go above and beyond the task to support the organization's goals and the team's needs is a MUST.

Details:

  • This is a full-time (35-hour/week) exempt position based in Los Angeles, CA. 
  • Working in busy and loud environments for in-person meetings and production days may be necessary. 
  • Flexible working schedule in a fully remote work environment
  • A hiring base salary range is $22 - $25 per hour. The final salary will be determined based on individual qualifications and experience.
  • Includes accrual of vacation, sick time, and paid holidays, 
  • Additional office closure for the winter holidays.
  • Valid driver’s license and current insurance required
