SUMMARY:

The Administrative and Operations Coordinator, under minimal supervision, provides liaison support for and between the Administrative/Financial team and the Operations team regarding cage and animal census and in-room administrative matters. This position will proactively and effectively align administrative and related billing tasks with animal census tracking throughout the CARE facilities. This position is responsible for maintaining excellent recordkeeping regarding animal census, taking census using an automated barcode system and/or taking manual counts of animal populations on a regular basis. This includes replenishing census supplies as needed by researchers and staff in housing rooms. This position will train and work with researchers regarding the use of the barcode cage card system in Topaz. This position must be familiar with administrative policies and procedures regarding animal research at Brown and provide excellent customer service regarding census matters to Principal Investigator (PIs), research staff, students, and co-workers within CARE.

This position is responsible for all accounts payable transactions including purchasing cards.

This position provides on-going analytical and financial assistance to supervisor regarding census, facility capacity matters and cost and rate setting analysis. This position provides general and administrative department support, support to Director as needed, along with other managers regarding ad hoc operational analysis. This position is cross-trained with some tasks associated with other positions, in particular the Administrative and Financial Coordinators, to ensure that, with supervision, billing and other deadlines are met, and the department's overall administrative assistance to researchers is exceptional.

QUALIFICATIONS:

  • Required: Bachelor's Degree, or Associates degree plus 1-2 years relevant accounting experience.

  • Preferred: Bachelor's Degree and 1-2 years relevant experience working in research facility.

  • Or, equivalent combination of education and experience.

  • Proficient computer skills including Microsoft Office (Word, Power Point, and Excel), Google Technology (mail, calendaring, spread sheets, shared documents), Adobe Acrobat and Qualtrics.

  • Experience using billing software and computer-based systems for managing animal census.

  • Commitment to learn new technologies and other online platforms to increase department efficiency.

  • Strong attention to detail, especially record keeping and organization.

  • Strong communication skills, both verbal and written.

  • Must maintain calm, respectful and professional manner at all times.

  • Commitment to customer service, interpersonal, and time management.

  • Must be an effective communicator including ability to give constructive feedback to others.

  • Possess a willingness and ability to support a diverse and inclusive campus community.

  • This position has frequent contact with many individuals regarding varying matters; flexibility is required in this fast-paced work environment with frequently shifting priorities

VIEW JOBS 12/29/2020 12:00:00 AM 2021-03-29T00:00 Job Description: The Operations Coordinator assists in carrying out a wide range of front-line services and cross-team administrative functions housed in the Office of the Registrar. The individual must be willing and able to accept and implement changes in business processes and procedures within a fast paced and ever evolving environment while being cognizant of established policies and with a high degree of attention to detail. The functions of the Operations Coordinator include, but are not limited to, transcript production and troubleshooting; researching and responding to enrollment and degree verifications; assisting with all aspects of registration transactions including the manual processing of approved time conflicts, cross-registrations, and non-degree student registrations. The Coordinator also supports other student services areas such as approved late grade changes, the coordination of make-up exams, apostille requests, replacement diploma processing; and the preparation of diplomas during degree conferral cycles. The Operations Coordinator will also need to possess and/or develop strong functional skills within the registrar-oriented applications in order to assist the Assistant and Associate Registrars with more technical tasks relating to curriculum maintenance, scheduling, and any other data-related activities that arise when called upon. In addition, the Operations Coordinator will serve as the primary individual to keep track of office supply inventories for the entire unit as well as be able to track and document purchases upon managerial approval. Qualifications * Required: Associate Degree and at least 3 years of related experience, or equivalent combination of education and experience. Bachelor's Degree preferred. * Experience working in a university setting preferred. * Strong functional skills in using software and databases. * Computer proficiency including a demonstrated understanding and ability to work with complex databases and web-based technologies. Ability to navigate and function at high level with complex student information system (Banner preferred) and the ability to develop a thorough knowledge of all modules relevant to registration, degree verifications, and curriculum. Proficient in use of Microsoft Office applications as well as ability to run and analyze reports related to job functions (IBM Cognos). * Strong organizational skills. * Excellent interpersonal and communication skills - patience, tact, good judgement, courteous demeanor even in difficult situations. * Ability to learn complexities of Brown curriculum and explain them clearly and accurately. * Must be able to think and work independently and also as a member of a team. * Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment. * Ability to quickly learn and navigate student database systems and external web applications such as the National Student Clearinghouse. * Ability to handle multiple tasks/deadlines specific to the position and be willing to assist in other areas with tasks on an as-needed basis. * Appreciation for and understanding of working with confidential information on a daily basis. * Ability to work effectively with customers and colleagues at all levels, from support staff to faculty and administration.
