The Federal Reserve Bank of Minneapolis Cash Services department is seeking an experienced Administrative Analyst to support the operation through highly relevant analytical assignments and administrative support. Performs specialized or confidential administrative duties, including the research, computation, and review of intermediately complex data for use in preparing reports and completing projects.
As needed, provide assistance to ensure all facets of the department settlement/independent verification processes are completed accurately and timely and in compliance with all rules and regulations. In addition to providing as needed assistance as described above, the Administrative Analyst is the primary back-up for the department settlement/independent verification function.
Provides general administrative support, to include scheduling, meeting planning, making travel arrangements, routing/distributing mail, data entry, transcribing, proofreading, photocopying, scanning/imaging, preparing documents, and filing.
Performs receptionist duties, including receiving and responding to visitors, internal and external customer phone calls, and managing a shared mailbox.
As needed, provide internal and external customer support, including responding to and resolving general and specific inquiries. Communicate by telephone or in writing in a professional, timely and effective manner.
Under the direction of others, assists in preparing and/or revising communications, including proposals, reports, and presentations. This activity may include updating and maintaining information databases.
Coordinates and helps plan department events as well as contribute to bank-wide events.
Orders and maintains adequate inventory of critical operations supplies as well as standard office supplies.
Participates in Department, Bank or FRS project teams and work groups; complete special assignments as needed.
May create, update, and/or maintain department or related intranet web sites and databases.
Performs other duties or responsibilities as needed or assigned.
High School diploma or equivalent. Some post-secondary education with coursework in business or a related field preferred.
Seven years of direct work-related experience to include at least three years in an administrative assistant role, or equivalent combination of higher education and experience. Experience in a business operations or financial environment preferred.
Excellent oral and written communication skills.
Excellent interpersonal skills and professional presence with strong collaboration and consensus building skills.
Ability to work on a team or independently and is highly self-motivated.
A high level of proficiency with MS Office products (e.g., Excel, Outlook, PowerPoint, Word, Visio), collaboration and communication tools.
Excellent organization skills and ability to manage the timely completion of multiple assignments concurrently.
