So we can continue to help others love how they live in moments that matter, the iconic brand is looking for a driven and passionate professional to raise the bar and join our Merchandising Buying department as a Seasoned Administrative Assistant located in our Northbrook, IL corporate office.

This Administrative Assistant will provide full administrative support to two Vice Presidents within the Merchandising department (Merchandising and Product Design and Development).

  • Serve as first point of contact for department, executives as well as internal/external clients.

  • Manage and maintain effective office procedures and efficient work flow.

  • Structure and organize activities and workload of leader(s) to facilitate efficient operations.

  • Prioritize schedules, maintain calendars and develop a system of follow-up for projects, meetings and issues.

  • Manage email correspondence, screen telephone calls, handle requests for information and prioritize all requests.

  • Refer complex and/or urgent correspondence to the department head and gather any additional information needed to respond.

  • Arrange and coordinate the logistics of complex domestic and international travel plans, and prepare detailed itineraries to assure accuracy.

  • Arrange and coordinate details for meetings, conferences and special events.

  • Handle a wide range of confidential information requiring a dedicated level of privacy and confidentiality at all times.

  • Generate memos, emails and reports when appropriate as well as maintain office supplies by checking inventory and order items.

  • Communicate effectively and efficiently with all company associates and business contacts, internal or external.

Required Skills

  • Minimum of 5 years of previous administrative experience is a must

  • High School diploma required

  • Demonstration of a high degree of professionalism, initiative and independence

  • Proven ability to handle fast-paced work environment coupled with exemplary planning and time management skills

  • Results driven with a high level of organization skills

  • Extensive knowledge and proficiency with Google Suite platform (Email, Sheets, Docs)

  • Excellent proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)

  • Excellent data entry skills

  • Excellent communication skills, written and verbal

  • Strong attention to detail

  • Strong collaboration and customer service skills

  • Proven track record in prioritization of workload and demonstrated ability to multitask

  • Forward thinking and desire to remain up-to-date with advancements in office technology, gadgets and/or applications

  • Good reading, written and verbal language skills (English)

Assist management in placing orders and maintaining inventory for supplies and uniforms. Establish and maintain relationships with outside vendors. Communicate changes in routes to the Arborist Assistants and field personnel. Forward field specialists route comments to appropriate parties (Management, Arborists, Arborist Assistants).
