Primary Purpose of Organizational Unit
School of Medicine IT, division of Medical School Administration, provides centralized computer services and information systems resources for the entire School of Medicine Community, from medical students to faculty to administrative staff. This includes approximately 9,500 employees and 1,000 students. Services provided by School of Medicine include: Server administration, applications support for administrative and clinical applications, classroom support, help desk support, resources supporting research activities, support for departmental Local Area Networks (LANs), and network access to resources available on campus and the Internet. School of Medicine IT also provides extensive web-graphics development and support, including design and development of the primary School of Medicine website (www.med.unc.edu), and development of numerous web-based database projects. Other services include a variety of digital media services including video conferencing, support of classroom video systems, and video recording, production, and editing.
Position Summary
The Administrative Support Associate is a member of the Business Office within the Office of the CIO (OCIO). This position provides high-level support to the Executive and Sr. Leadership groups in the School of Medicine Information Technology department, as well as the Business Manager. Responsibilities include assisting with meeting and conference planning, drafting communications, coordinating travel logistics, and communicating information from the Directors to staff in the OCIO.
Tasks include receiving visitors to the OCIO suite, managing packages and shipments, and maintaining inventory lists. Furthermore, the Admin Support Associate will liaise between OCIO staff and the Director's offices during the onboarding of new employees or students. As needed and directed by the Business Manager this position will serve as a resource for the Executive Assistant to the CIO.
Minimum Education and Experience Requirements
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Required Qualifications, Competencies, and Experience
Possession of a valid driver's license and auto liability insurance.
Exceptional written and verbal communication skills, with a demonstrated record of conveying information and ideas through diverse mediums and to various audiences. Skilled in adapting language or terminology to align with the needs of the recipient(s).
Committed to delivering customer service with a friendly and welcoming demeanor.
Demonstrated proficiency in managing diverse facets of the recruitment process, such as initiating contact with potential candidates through email or phone, securing spaces for interviews, and arranging interview schedules, which may include setting up and managing an online component.
Demonstrated expertise in the Microsoft Office 365 suite, with a focus on utilizing Outlook, SharePoint, Teams, Visio, PowerPoint, Word, and Excel.
Capable of comprehending and applying knowledge of program services, policies and procedures, and adept at utilizing this understanding in the execution of office support tasks. Proficient in explaining and interpreting program information to both clients and staff.
Experience in preparing compelling and engaging materials for meetings.
Preferred Qualifications, Competencies, and Experience
Experience supporting a large department, preferably with varying levels of managers is preferred. Prior experience working in a higher education environment.
Proven expertise in overseeing Outlook calendars for a minimum of five (5) individuals at the Director level or above.
