The Admin Support III for the First-Generation Student Success Center is a key operational component of the First-Generation Student Success Center and First-Generation Support Services that coordinates various administrative capacities. Under the authority of the Director of First Gen this position manages staff, interprets budgets, and provides auxiliary services as needed.
Performs advanced and confidential administrative support duties, including composing routine correspondence, meeting minutes, financials, and obtaining information requiring knowledge of policies/procedures of both assigned and work-related areas. Coordinates the preparation and submission of reports, publications, and newsletters.
Prepares and manages department budgets which include analyzing budget reports and fiscal data to inform the Director. Advises Director on over-expenditures, best methods to handle errors, articulates year-end close out budgets. Responds to inquiries regarding budget balances and expenditures. Coordinates department financial activities including timecards, ePAF's, new hire paperwork completion and submission, requisitions, purchase orders, travel, etc. Oversees the payroll process, including preparation, submission, monitoring, and maintenance to ensure accuracy. Maintains inventory of office equipment and supplies.
Serve as resource for students emailing, calling, or visiting the FGSSC, connecting them to the appropriate support services and helping them schedule appointments with full-time and student staff members.
Assists in maintaining the FGSSC website and any social networking sites by uploading content, correcting errors, and overseeing the yearly website audit for the department. Assists in the creation and distribution of promotional and marketing materials. Helps coordinate speakers, workshops, conferences, and any support needed for these functions.
Coordinate and supervise administrative staff in designated projects and assignments. Coordinate schedules and activities for administrative positions. Supervise and train new nonexempt employees. Coordinate the training and assignments of student interns and work-study hires.
Acts as liaison for the Director as necessary to university administration, staff, students. Assists with projects, serves on committees within the institution.
Perform other job-related duties as assigned.
Graduation from an accredited institution with a bachelor's related to the Summary of Duties or any combination of education and/or experience totaling four years.Knowledge
