Job Title: Admin Scheduler Department: Special Operations

FLSA Status: Non-exempt

General Statement of Job

The purpose of this position is to provide administrative support for the Special Operations Department. The Scheduler coordinates work schedules for all applicable field operations and special projects. This position reports to the Administrative Manager.

Specific Duties and Responsibilities

Essential Job Functions

  • Liaison with SIS Field Managers for effective scheduling protocols

  • Maintain tracking of Specialist?s and Off Duty Officer?s scheduling for all designated posts, including updating schedules for all special requests

  • Manage records to ensure accurate processing and billing

  • Process and ensure accuracy of all HR related documentation, including personnel roster

  • Partner with field management to ensure accountability and utilization of security equipment, materials, and uniform standards and inventory

  • Assist in tracking and providing updates on maintaining required license, training and all SIS training programs and development of personnel

  • Serve as point of contact for employees and liaison with HR and Payroll departments on their behalf

  • Partner with security team members during event security details

Additional Job Functions

  • Perform other related duties as required

Minimum Qualifications and Requirements

  • Must have a High School Diploma or GED; AA Degree preferred

  • Minimum two years experience in general office setting with clerical or related experience

  • Must be proficient in both MAC and PC operating systems

  • Must be proficient in Microsoft Word/Excel/Powerpoint

  • Experience using Shiftboard or other scheduling software/tools highly preferred

  • Demonstrated analytical and problem solving skills

  • Must be flexible and possess the ability to function in stressful situations

  • Excellent time-management, communication, technical writing, presentation development, facilitation, and organizational skills required

  • Must posses the ability to effectively communicate with all levels of management

  • A dependable team player with business maturity, enthusiasm, and a positive attitude

SCHEDULE:

Sunday: 14:00-22:30

Monday: 14:00-22:30

Thursday: 12:00-20:30

Friday: 12:00-20:30

Saturday: 14:00-22:30

Pay Rate: $17/HR

Benefits: (Health, Dental, Vision) are offered through SIS

Responsibilities: * Provide organizational and administrative support to both SVPs and other Funimation staff as needed * Heavy schedule/calendar management * Assemble and update all programming and budget presentations (Google docs,PowerPoint and Keynote) * Coordinate all internal and external meetings and calls (across multiple time zones) * Collect and prepare information/documents for all meetings and conferences * Coordinate all travel arrangements (domestic and international) * Generate monthly expense reports * Manage and track executive approval flow Additional responsibilities include, but are not limited to the following: * Note taking on calls and during meetings, as needed * Keep track of necessary office supplies and order updates * Assist in various projects as they arise such as, organizing departmental events, gifts, etc. * Assist visiting executives, as needed Requirements: Skills & Competencies * Fluency in Japanese (verbal and written) preferred * Strong Computer skills: MS Outlook, PowerPoint, Word, Google Docs, Excel required * Proficiency in both Mac and Windows OS preferred * Excellent written (spelling, punctuation, grammar) and oral (professional and friendly demeanor) communication skills * Exceptional organizational and follow through skills * Ability to multi-task and prioritize with attention to detail * Ability to independently solve problems * A self-starter with a team player attitude * Take responsibility for and ownership of tasks * At ease in a fast-paced, high energy, ever-changing work environment with shifting priorities * Must demonstrate professionalism, diplomacy, and discretion when dealing with co-workers, executives, etc. * A strong passion for all things TV and pop culture related * Has a global perspective and an appreciation for cultural differences * Multilingual a plus but not required Experience * Minimum of 2-3 years administrative experience * Entertainment industry experience preferred (specifically television, film, or animation) Education * Education: B.A., B.S., or equivalent preferred * Sony Pictures Entertainment is an equal opportunity employer.
