Duties and Responsibilities (*Denotes essential functions)

  1. *Provides administrative support for the School of Ocean and Earth Science and Technology (SOEST) Dean's Office and Fiscal and Human Resources offices.

  2. *Responsible for reviewing, approving, and posting of accounts receivables and payables, and addressing issues or discrepancies with requisition or appropriate system offices.

  3. *Reconciles accounts regularly and monitors account balances, informing the Fiscal Manager, Director of Administrative Services and/or Principal Investigator of potential issues (i.e. Projected deficits, unallowable expenditures, etc.).

  4. *Provides staff support in procurement including reviewing and approving requisitions, purchase orders, travel requests & completions, departmental checks and p-card transactions in accordance with Federal, State and UH policies and procedures.

  5. *Provides staff support in academic and outreach activities under the Dean's Office.

  6. *Participates in training sessions for faculty and staff.

  7. *Assists in performing human resources related duties such as recruitment, record maintenance, personnel actions, contract interpretation, benefit admin, etc.

  8. *Assists with the maintenance of all confidential personnel files and records, in accordance with State and Federal laws and union contracts.

  9. *Assists with providing administrative support to other SOEST administrative offices as needed.

  10. Other duties as assigned


Minimum Qualifications

  • Possession of a baccalaureate degree in Business Administration, Liberal Studies, or related field and 0 year(s) of progressively responsible professional experience with responsibilities for fiscal and/or human resources administration; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.

  • Functional knowledge of principles, practices and techniques in fiscal and/or human resources administration demonstrated by knowledge, understanding and ability to apply concepts, terminology.

  • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with fiscal and/or human resources administration.

  • Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in fiscal and/or human resources administration.

  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.

  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.

  • Demonstrated ability to operate a personal computer and apply word processing software.

  • Any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.

  • Ability to work successfully in an environment with a wide range of personalities and needs, while maintaining a positive attitude.

Desirable Qualifications

  • Familiarity with the University of Hawaii's policies and procedures.

  • Professional work experience in an academic/university environment.
